We are searching for an experienced Facilities Scheduling Assistant .

Job Purpose:
Provide on-site weekend and evening assistance to internal and external customers who are utilizing Collin College District facilities that have been scheduled by the campus facilities scheduling coordinators.

Essential Duties and Responsibilities:

  • Administer Ad Astra scheduling software as needed to locate or relocate events.
  • Provide on-site assistance in contacting Collin's Technology Services, Catering, Physical Plant, Police/Security, and other departments as appropriate to ensure the success of events in District facilities.
  • Serve as liaison between the internal and external customers and those departments for the respective event.
  • Maintain and utilize a list of confidential emergency contacts as appropriate to the events scheduled by Facilities Scheduling.
  • Assist Campus Facilities Scheduling Coordinators with set-ups, decorating, preparation and hanging of signage, data entry, contract preparation, and other duties as needed.
  • Contact catering, physical plant, media services, security, administration and/or others as needed to assist clients in the use of facilities.
  • Perform other duties as assigned.

Knowledge, Skills and Abilities:

  • Knowledge of current office and customer service practices, procedures and principles
  • Knowledge of business English with the ability to communicate verbally and through the compilation letters, memorandums, reports, spreadsheets, etc.
  • Knowledge and Skill in operating a PC utilizing Word and Excel software
  • Knowledge of facilities usage
  • Knowledge of board policies, procedures and guidelines
  • Knowledge of available resources
  • Skill to learn and utilize new software products, such as Ad Astra room scheduling software and others
  • Skill in proofreading materials to ensure accuracy
  • Skill to effectively negotiate between multiple parties
  • Skill to work effectively and carry out assigned tasks without on-site supervision
  • Skill in decorating and set-up functions
  • Ability to resolve problems without escalation
  • Ability to work confidentially and represent the District in a positive manner at all times
  • Ability to use good judgment and work effectively under pressure
  • Ability to work flexible hours to effectively meet the needs of the District
  • Ability to travel between assigned work sites
  • Ability to keep up-to-date with District policies, procedures and practices and answer or direct questions on a wide variety of subjects as appropriate
  • Ability to work effectively with customers and personnel from physical plant, catering, police/security, media services, and other departments
  • Ability to work with limited on-site supervision
  • Ability to respond to emergencies
  • Ability to read, interpret and carry out instructions


Required Qualifications:

High School Diploma and at least three (3) years of experience required. Associate degree, preferred.

Physical Demands and Working Conditions:
Light Work - Exerting up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or a negligible amount of force constantly having to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for the Sedentary Work category and the worker sits most of the time, the job is rated Light Work. Positions in this class typically include talking, hearing, seeing, grasping, standing, walking and repetitive motions, stooping, kneeling, crouching, and reaching, climbing and balancing, plus pushing, pulling and lifting. Occasional exposure to unpleasant environmental conditions and/or hazards. Occasional outside work. Occasional physical effort required.
