Department Summary

The Career Center offers premier programs and services at our San Bernardino campus, located in the foothills of San Bernardino, and our Palm Desert campus located in the Coachella Valley. We empower students and alumni to develop a lifelong skillset for an ever-changing labor market through exploration, programming, and experiential learning opportunities to meet their personal and professional goals. We partner with local and national industry leaders to offer specialized programming, distinctive resources, and tailored events for over 20,000 current students as well as countless alumni across the Inland Empire and beyond.


Job Summary

Under general supervision from the Director of the Career Center, the incumbent will provide front desk reception and customer service. The incumbent will also manage the Executive Director's calendar and phone line. Coordinate and make arrangements for meetings, conferences, travel, and reporting.

Typical Activities:
  • Answer multi-line telephone and greet incoming guests to the Career Center;
  • Oversee Career Center electronic communications and send responses to general inquiries;
  • Create communication templates;
  • Train Career Center student assistants in phone etiquette, Outlook calendar usage, and front desk customer service;
  • Supervise student assistants;
  • Check-in student and alumni appointments and drop-in visits;
  • Verify student and alumni enrollment, graduation date, and contact information;
  • Maintain a clean and professional-looking reception area;
  • Oversee Career Center calendars;
  • Order general office supplies and place general office orders;
  • Maintain and arrange an appointment schedule and manage the calendar of the executive director;
  • Answer telephone extensions and make outbound calls;
  • Coordinate and make arrangements for meetings, conferences, travel, and concur reporting;
  • Oversee emails daily and prepare appropriate email responses;
  • Plan and organize the annual staff retreat;
  • Prepare agendas for weekly staff meetings;
  • Record meeting minutes and maintain agendas;
  • Other duties as assigned.


Employment Status: Full-time, "non-exempt" probationary position (with the possibility of converting to permanent status).

Work Schedule

Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.


Key Qualifications
  • Excellent communication and interpersonal skills (including being a good listener) to interact and communicate effectively with faculty, staff, students, and external constituencies, both verbally and in writing.
  • Ability to manage multiple projects independently in a fast-paced organization with competing priorities and distractions.
  • Ability to use high-level discretion and maintain a high level of confidentiality in handling problems of a sensitive nature and security of confidential records.
  • Working knowledge of and ability to operate standard office equipment and technology including, but not limited to, desktop computer, laptop, tablets, multi-function copier, and printer.
  • Demonstrated proficiency inability to effectively use common computer and technology programs and related computer software packages (e.g., Microsoft Office Suite, Zoom, etc.) in the course of assigned duties.



  • Education and Experience
    • High School diploma or its equivalent AND two years of experience in general office clerical or secretarial work or the equivalent.

    Preferred Experience
    • Front desk reception and customer service.
    • Experience maintaining and arranging an appointment schedule and managing the calendar of an executive director.
    • Experience with coordinating, planning, and making arrangements for meetings, conferences, travel, and reporting.



    Salary

    Anticipated Hiring Range: $2,912.00 - $3,100.00 monthly

    Classification Salary Range: $2,912.00 - $4,592.00 monthly
