Job Description:

Amherst College invites applications for the Research Administrator position. The Research Administrator is a full-time, year-round position, job group and level PT-3. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the w ays in which they bring value to and will work towards supporting a broadly diverse community.

Reporting to the Controller, the Research Administrator has responsibilities associated with administration, accounting, and reporting of all grants and awards from federal, corporate, and other sources. The Research Administrator establishes and communicates sponsored program administration policies & procedures, oversees the maintenance of expenditures and other post-award records, and is responsible for the establishment of an efficient and compliant post-award infrastructure. This position takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Summary of Principal Duties and Responsibilities:

Pre-award
  • Assist a diverse set of faculty and the Grants Office in the preparation (including budgets) and submission of grant proposals, including the interpretation of sponsor requirements.
  • Review proposals for compliance, completeness, and accuracy
  • Maintain access to sponsor portals for grant submission (and post award reporting)
  • Facilitate internal letters of commitment and eligibility, and sub-recipient documents

Post-award
  • Oversee all aspects of post-award operations and strategies for sponsored projects, including planning and implementing appropriate policies, processes and controls to comply with regulations, funding agency policies, and College policies
  • Act as the primary resource to the College community on the financial management of external funding
  • Review all grant expenditures for adequate documentation and compliance with applicable regulations and budgets
  • Prepare all journal entries related to grant accounts within Generally Accepted Accounting Principles, as well as related budget adjustments, cost transfers, detailed schedules, account reconciliations, and other financial reports
  • Oversee the cash management and accounts receivable of grants; ensure timely and accurate invoicing
  • Assure that adequate procedures are in place to monitor any sub-recipients and their compliance with sub-award provisions
  • Ensure timely and accurate internal and external financial reporting for all grants and sponsored programs on a periodic basis and as required
  • Prepare budgets, financial forecasts, and other detailed calculations as they relate to the College's grant and contract funds
  • Compute and prepare the indirect cost rate proposal to the Department of Health and Human Services
  • Manage processes for completing annual, national surveys such as the NSF HERD survey
  • Collaborate with appropriate College offices, particularly the Grants Office, to manage, develop, and implement policies, processes, and systems for all aspects of financial management
  • Manage the College's effort reporting system, ensuring the process complies with applicable regulations
  • Monitor and keep current with federal grant regulations and practices, including Uniform Guidance regulations, provide interpretation and application to College faculty and staff as needed, while being accountable for ensuring that all expenditures adhere to federal, state, and sponsor requirements (keeping current also imperative for pre-award responsibilities)
  • Prepare materials for and act as primary liaison with external auditors for the annual Uniform Guidance audit
  • Conduct final review of the Schedule of Federal Expenditures of Federal Awards (SEFA) as reported to the auditors and ensure proper filing of the related Data Collection Form (DCF) with the Office of Management and Budget (OMB) Federal clearinghouse

Knowledge, Skills, and Abilities:

  • Solid understanding of the principles under Uniform Guidance, and accounting for grants and federal awards under Generally Accepted Accounting Principles
  • Demonstrated elevated knowledge of Microsoft Excel
  • Strong verbal and written communication skills to interact with finance colleagues and the general campus community
  • Strong focus on attention to detail and accuracy
  • Ability to prioritize workload and provide timely follow-up and resolution
  • Ability to respond to a wide variety and volume of requests from numerous individuals in a timely and professional manner
  • Demonstrated commitment to diversity, equity, and inclusion, and to working collaboratively with a diverse team

Qualifications
Required:
  • Bachelor's degree or equivalent experience
  • Experience working with a diverse population and demonstrated inclusive behavior
  • Workday Finance experience preferred
  • Finance functional experience in higher educational setting preferred
  • Experience with awards sponsored by NIH, NSF, NASA, NEH, and NEA preferred
  • Certified Research Administrator credentials preferred
