Brief Summary of Work for this Position

The Executive Assistant works independently, providing a high-level administrative support to the Associate Provost for Grad Ed/Lifelong Learning and Dean of the Graduate School and department. This position will also complete the following: greet guests both in person, by phone or computer, manage office including office inventory and equipment, organize meetings and events, compose meeting minutes, speaks on behalf of Associate Provost if needed, debriefs Associate Provost after meetings, maintains student travel, monitors funds, tracks and manages thesis spreadsheet along with clearing thesis requirements for graduation, record retention, maintain Graduate School website, hires graduate students in Banner and walks students through the payroll process, answers budgetary questions, primary liaison working with GSA and other duties to support the Associate Provost.

Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience;
or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience;
or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience

All degrees must be received from appropriately accredited institutions.

Preferred education, professional skills and experience

• Prior experience working in an executive assistant level position, preferably in a higher education/academic setting
• Experience and familiarity with using various office technologies, working knowledge of Banner, Chrome River, DegreeWorks, SSRS and other reporting solutions
• Intermediate to advanced proficiency in MS Office (especially in Word and Excel)
• Experience managing fiscal matters, budget planning, etc.
• Familiarity with UNC System policies, University policies, Graduate School policies and procedures
• Experience planning, coordinating and organizing conferences, retreats, and other events
• Experience with calendar management
