Job Description

Embry-Riddle Aeronautical University is now hiring an Administrative Assistant. This is a skilled administrative support position for the Dean of Enrollment Management at Embry-Riddle Aeronautical University - Daytona Beach Campus. The Department of Enrollment Management is responsible for the enrollment strategy, communications, recruitment, campus visitation, and financial aid for students to attend the residential campus located in Daytona Beach. The administrative assistant will support the Dean, a member of the Enrollment Management Leadership Council, Daytona Beach Leadership council and Strategic Initiative Teams 1 and 2 (Enrollment and Retention) in interactions with the Vice President of Enrollment Management, Provost, The SVP, and CFO, the other Enrollment Management Deans, Academic Deans and the ERAU-DB students, faculty and staff. Additionally, this position will support 5 leadership positions that work directly for the Dean.

Responsibilities include:

Administrative Support

  • Maintaining and assisting with the Dean’s schedule
  • Coordination of meetings and composing meeting minutes
  • Researching and securing travel arrangements
  • Compiling, submitting, and tracking expense reports for the DB Enrollment Management’s leadership team
  • Communicating verbally and in writing with internal and external parties
  • Taking the appropriate action in response to matters assigned by the Dean of Enrollment Management
  • Ordering and tracking of departmental supplies and inventories
  • Meticulously monitoring and updating departmental distribution lists, contact lists, emergency contact lists, departmental computer equipment lists, etc.
  • Compiling monthly reports and data to the Dean with Enrollment management activities and analysis.
  • Monitoring the departmental calendar to ensure coverage as well as monitoring personal leave submittal
  • Assist with presentations and materials for mass distribution
  • Weekly data collection for the departmental leadership team

Budget & Travel Support

  • Processing all purchases, travel, and p-cards for the Dean as well as the 5 executive director and directors.
  • Monitoring multiple EM budgets and spending and provide monthly updates
  • Scheduling all leadership departmental travel as well as staff professional development
  • Purchase and monitor departmental supplies

Assist with new staff onboarding (IT requests, orders, etc.)


A Bachelor’s degree is required. The successful individual will be highly organized, have an outgoing personality, and be able to multi-task. Excellent interpersonal and computer skills are essential, as is the ability to project and promote a positive image of the Enrollment Management department while supporting student recruitment and student success. The individual should be a team player with a strong commitment to service and at least 3-5 years of experience providing executive-level support, preferably in an academic setting. This position will support a department of 40 plus individuals where strong organizational skills will be critical.
