Primary Function

This individual is responsible for monograph ordering from the library materials budget. The job involves working closely with many vendors, making purchases using P-card and via purchase orders as well as verifying terms and initiating and directing follow-up on all outstanding orders until items are either received or canceled. In addition, the individual works closely with library faculty updating them on the status of their accounts, and answers any questions concerning the status of specific titles. It is expected that this individual will support and encourage departmental efforts to process assigned work in a timely, accurate fashion and to seek methods for enhancing the achievement of departmental goals.

Communicates regularly with the Acquisitions Librarian, Technical Services Department Head, Associate Dean for Collections Management, library faculty, and other departmental staff as necessary. Maintains a working relationship with other library staff. Regular ordering procedures help ensure a more even level of activity throughout the Technical Services Department.

This position reports to the Acquisitions Librarian. This individual assists in coordinating the Acquisitions Unit (encompassing both Monographs and Continuing Resources) and has reporting responsibility for Monographs employees (one Library Assistant).

Duties and Responsibilities (generally)

Serves as a team leader for the Acquisitions Unit staff, which consists of three operating staff employees. Serves as the resource person for searching and ordering functions of library acquisitions technology and electronic resources (e.g., OCLC, Alma, Title Source, GOBI ) and is responsible for assisting acquisitions staff and other department personnel. Orders, receives, and invoices monographs and continuing resources. Communicates with vendors, library fund managers, and the library business office to ensure efficient order fulfillment and invoice payment.

Minimum Required Qualifications for this position

1. High school graduation or equivalent.

2. Any combination totaling 2 years (24 months) from the following categories:
(a) work experience in a library or equivalent setting.
(b) college course work in any field as measured by the following conversion table
  • 30 semester hours equals six months
  • 60 semester hours or an Associate’s degree equals one year
  • 90 semester hours equals eighteen months
  • Bachelor Degree (120 semester hours) equals two years (24 months)
  • Master’s or higher degree equals four years



(Note: Only a maximum of 4 years credit for college course work is available.)

3. A total of 2 years (24 months) work experience in a library or equivalent setting performing progressively more responsible work consistent with the Library Specialist (next lower level of the series).

1. Demonstrated knowledge of an integrated library system, preferably Voyager.

3. Demonstrated ability to manage multiple work units with different requirements/schedules.
4. Demonstrated ability to develop and execute workflows.
5. Demonstrated ability to create and edit spreadsheets to track fund and order information.
6. Skill in exercising appropriate judgment in decision making.
7. Demonstrated organizational skills
8. Ability to work collaboratively with faculty, staff, and students to ensure adherence to Technical Services and Collections policy regarding library materials.
