Position Primary Purpose and General Responsibilities
The mission of University Counseling Services ( UCS ) is to create an environment that fosters student growth, development, and psychological well-being through direct clinical service, education, and prevention. UCS achieves excellence through a multidisciplinary approach to comprehensive psychological services and mental health training. The Office Manager supports the mission of UCS, under the direct supervision of the UCS Director, by overseeing the coordination of all front office operations for the counseling center on both the Monroe Park and Medical Campus. The Office Manager also supports our Intimate Partner Violence, Sexual Assault, Stalking, and Harassing Advocates and the Rams in Recovery Program, which focuses on supporting students with substance use concerns.

The Office Manager also supervises (2) Administrative Assistants, prepares reports related to staff usage of professional development, travel, and recruitment expenses, handles confidential information requests, and leads the front desk operations team in providing consistent clerical support to staff clinicians, pre and post-doctoral interns, advocates, and Rams In Recovery staff. Other general responsibilities include, but are not limited to, arranging conference calls, developing PowerPoint presentations, time keeping, scheduling meetings, and events as well as any special assignments assigned by the Director of University Counseling Services.

  • High school diploma or equivalent
  • Experience with of database systems and management
  • Proficiency and experience using word processing software
  • Outstanding organizational skills
  • Exceptional interpersonal and written communication skills
  • Proficiency w/Microsoft Office and comparable Google Software
  • Ability to work independently w/ minimal supervision
  • Experience working with diverse populations and fostering an environment that values diversity and inclusion
  • Minimum 1 year of supervisory experience
Preferred Hiring Standards
  • Associate’s degree or the completion of a 4-year college degree
  • 3 years of administrative experience in an office setting
  • Experience as an office manager
  • Experience with fiscal management including budget monitoring and reporting
  • Knowledge of VCU proprietary systems for HR, general purchasing and student records
  • Some website management experience
  • Some experience handling confidential data and matters
  • Some experience working in a fast-paced, service-centered setting
