Job Details

The Business Office Department seeks aStudent Accounts Specialist who will support the function of the Student Accounts Office which is part of the School of Nursing Business Office. Posting tuition charges, billing and collection on student accounts, posting all daily activity to student accounts, prepare student refunds via the ISIS system, preparing and reconciling daily deposits, collecting student health insurance enrollment/waiver forms, prepare journal vouchers, reconcile monthly statements to deposits, maintain two charge card batches and settlement daily, billing outside agencies, federal and state. Verify student tuition benefits enrollment forms, and all other duties as they relate to student accounts and the Business Office. Daily interaction with the Registrar's Office, Student Financial Services and the Admissions Office. Distribution of semi-monthly and weekly payroll checks. Position uses a Computer, copier, fax and calculator. Under general direction of the Director Financial Operations, this position is responsible for the daily management student accounts operations at School of Nursing that are not performed by Johns Hopkins University’s newStudent Enrollment & Account Management (SEAM) Share Services Organization.This person will serveas one of school-based point of contact for SEAM’s student accounts operations.In addition, this person will be responsible for the specific duties listed below, which are not handled by SEAM.

Specific Duties & Responsibilities:

Student Accounts:

  • Act as liaison between SEAM Student Accounts team and divisional leadership, faculty, and staff.
  • Responds to complex questions from students and families that the SEAM cannot address due to division specific practices and/or unique student circumstances.
  • Act as one of divisional point of contact to the SEAM and the Student Health Insurance process including enrollment, waiving, audit, termination and COBRA.
  • Serve as divisional knowledge resource regarding Student Accounts best practices.
  • Ensure that the division maintains compliance with all applicable federal, state, and institutional rules and regulations by utilizing extensive knowledge of information, practices, and procedures to respond to inquiries, questions and ad hoc requests
  • Working with Business Office to process departmental graduate aid (DGA) and preceptor’s tuition credits each semester.
  • Processing student health insurance enrollment and waivers forms.
  • Daily interaction with School of Nursing Registrar’s, Student Financial Services and Admissions Office
  • Handling of Student Account Prerequisites program, posting tuition charges, billing and collection, posting all daily activity, preparing student refunds via SIS system.
  • Reviewing and posting registration/graduation holds. Notify registrar’s office when appropriate.
  • Provide reports regularly and analyze service level need with Director for continuous improvement. Knowledge of software application for running reports and analyzing data for service level agreements.
  • Develop/modify, test and implement SRS reports relating to student accounts
  • Verify and provide tuition calculation when needed.
  • Represent student accounts at student open house and orientation.

Other Duties:

  • Ongoing development and maintenance of the departmental policy, procedure, and processing manuals.
  • Distribution of semi-monthly payroll checks.
  • Handle daily bank deposits for School of Nursing
  • School of Nursing’s Petty Cash Custodian.
  • Cross training with financial analyst duties.
  • Billing and collection of non-SIS revenue.
  • Processing credit card transactions.
  • Vendor payments processing.
  • MTA monthly passes.

Other duties as assigned by the Director Financial Operations and/or at the request of the SEAM.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED required. Three years related experience required.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor’s degree preferred.
  • Five or more years of related experience strongly preferred.
  • Knowledge of compliance requirements for both financial aid and registration transactions and operations preferred.

Special Knowledge, Skills & Abilities:

  • Experience student accounts and working knowledge of financial aid and registration, preferably in a higher education setting.
  • Highly skilled customer service capabilities.
  • Excellent oral and written communication skills.
  • Excellent organization skills and attention to detail.
  • Skills in collaboration and working across organizations to meet stakeholder needs and expectations.
  • Working knowledge of Excel, Word, and Access.
  • Working Knowledge of ERP systems (SAP).
  • Proficiency in the use of enrollment services related software and systems (e.g. SIS, PowerFAIDS, CourseLeaf, OnBase, etc.).

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $17.59 - $24.80/hr (commensurate with experience)

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
