Assistant Director of Housing for Planning and Operations

Position Overview:

Responsible for maximizing occupancy in the residence halls. Develops and implements policies and procedures, establishes priorities and objectives, and generates innovation for University Housing. Provides assistance with the resolution of student and/or parental housing issues. Facilitates the strategic planning process for university housing.

Department Specific Essential Job Functions:

  • Occupancy Management-Supervise the Occupancy Coordinator. Oversee room change and consolidation processes. Manage the process for guaranteed rooms. Communicate with hall directors. Fill rooms. Works with Learning Communities coordinator to prepare the student portal, enter student information, and release rooms as necessary. Track StarRez training for staff.
  • Hire, train and manage the full time occupancy coordinator, who is responsible for room changes, maintaining StarRez, and providing reports as needed.
  • Customer retention / Assessment-Supervise full time retention specialist. Oversee retention meetings with students who intend to break their contract. Confirming contracts with phone calls, emails and texts. Oversee the annual planning calendar. Administer monthly surveys and annual EBI assessment. Implement both proactive and reactive strategies to retain student customers. Organize and manage the review board process, which determines student responsibility for charges and answers student inquiries about charges. Oversee the process of distributing scholarships and scheduling all potentially cancelling students with housing staff. Supervise all housing assessment; distribute instruments to customers, analyze results, and distribute results to staff.
  • Desk Software and Document Imaging Oversee all desk communication; manage communication software (TextUs, Chat, OneNote). Oversee the continuing effort to remain paperless through OnBase. Serve as a resource for problems that cannot be solved by desk staff. Review results and present at monthly strategic meetings.
  • Manage all direct communications to students, including e-mail, chat, and text.
  • Employee retention -Schedules events and programs related to employee success and retention: Wellness program Book Club Social Events Software training Implement both proactive and reactive strategies to retain student employees and staff.
  • Oversee room key distribution and code entry into Starrez. Audit keys weekly.
  • Adjust student and staff building access as necessary.
  • If necessary, organize covid response and provide on call assistance.

  • Oversee the occupancy of learning communities.
  • Manage promotions, discounts, and alternative rates for athletics and international programs. Serve as main liaison with those offices.
  • Identify inefficient processes throughout the operation; lead the process improvement process.


Scope and Impact: Responsible for the daily administrative direction and execution of program, function, or activity within a department. Through the quality of decision and execution, may have significant impact within defined area. Budget Authority : Responsible for project timelines and budgets. Coordinates and allocates resources relevant to assigned area. Limited signature authority for purchases or payroll. Policy and Procedure Authority: Assists and consults in developing and recommending policies and strategic plans in the larger department. Limited authority to implement policies/procedures within area of responsibility. May have defined/limited ability to grant exceptions to policy. Reports to: reports to a Dean or Director. In very large departments, may report to a faculty chair. May undertake some responsibilities of the Director in their absence. Supervisory Responsibility : Supervises departmental employees and evaluates staff performance. Generally supervises professionals and individual contributors and may supervise subordinate managers. Coaches & develops employees. Promoted effective relationships and departmental culture. Effective Knowledge: Contributes through advanced knowledge, skill, and experience. Proficient at project management, planning, and developing goals. May directly undertake some administrative/support tasks, though this should not exceed 30% of the job responsibilities. Problem Solving : Develops, evaluations, and implements measures to improve quality that have an impact at the department or divisional level. Modifies guidelines and processes to resolve issues or problems. C ommunication & Interaction: Communicates guidelines for project and service delivery. Uses diplomacy and advanced communication skills in unstructured settings.

Qualifications

Qualifications / Experience Required:

Bachelor's degree or equivalent work experience that provides extensive knowledge of fundamental theories, principles, and concepts. Requires the application of expertise in a chosen field to achieve results. 7+ years of experience with leading planning, including program development and innovation, program prioritization, and assessment. Extensive knowledge and comprehensive understanding of functional area. Appropriate profession accomplishments and credentials.

Experience Preferred:

Master’s degree in Higher Education or related field. At least one year of full-time Residence Life experience. Two years of database management experience. Knowledge of assessment practices and student developmental theories.

Knowledge/Skills/Abilities:

Must be proficient using computer software including spreadsheets and word processing. Must demonstrate excellent analytical, written and oral communication, and interpersonal skills. Must possess an enthusiasm to work with diverse populations.
