Summary/Objective

The Faculty Affairs Coordinator is the lead staff member responsible for full-time faculty affairs and faculty actions in School of Public Affairs. Working with the Senior Associate Dean for Academic Affairs and the Dean, the position acts as a liaison with academic department chairs, administrative assistants, school committees, and university support departments related to faculty affairs such as the Office of Academic Affairs, the Office of the University Registrar, Human Resources, and the Faculty Senate.

The position manages full-time faculty actions including appointments, reappointments, promotions, tenure cases, leaves, faculty research awards, searches, and faculty course loads. The position tracks work authorization needs for full-time faculty and initiates H-1B and Permanent Residency requests for full-time faculty to be filed with the Office of the General Counsel. The position catalogs appointment memos for program directors.

The position manages elections for SPA representatives to the Faculty Senate committees and SPA committees. The position coordinates academic management reports generated internally and through university planning and research, including providing technical support to faculty for the Faculty Activity Reporting System (FARS).

The incumbent may supervise work-study graduate student assistants, and/or part-time employees as necessary. The position will work closely with all members of the Dean’s direct and indirect staff. The incumbent may represent the Senior Associate Dean at certain school, departmental, or university meetings related to faculty affairs. The nature of this position is to facilitate interaction between the Office of the Dean of Academic Affairs and units both within and outside the School of Public Affairs.

This position requires minimal supervision.

Essential Functions
  1. Faculty Affairs Management: Manage full-time faculty affairs and faculty appointments, reappointments, tenure and promotion processes, faculty awards, and leaves. Create management analysis tools related to electronic document management for files for action, course evaluations, and other measures as determined to be appropriate. Along with the Dean and the Senior Associate Dean for Academic Affairs, serve as a resource to SPA community regarding school and university faculty policies and procedures. Work closely with the Office of Academic Affairs, the Office of the University Registrar, Human Resources, and the Faculty Senate. May represent the Senior Associate Dean for Academic Affairs in committee meetings related to faculty affairs.
  2. Faculty Recruitment and Hiring: Coordinate faculty searches with the department chairs, staff assistants, and search committees to ensure compliance with affirmative action and equal opportunity regulations. Draft position announcements, solidify search procedures, and maintain applicant database using Interfolio. Communicate with applicants and search committee members during each stage of the process, provide direction and guidance on searches to staff assistants when needed, and manage search closure process. Work closely with the Office of General Counsel to prepare Dean’s supporting documents for faculty H1-B and Permanent Residency applications.
  3. Faculty Teaching Loads, Course Evaluations, and Merit: Monitor SPA faculty teaching loads and course evaluations using university information systems such as Eagledata or Business Intelligence. Provide technical support to faculty for the Faculty Activity Reporting System (FARS) and provide faculty annual reports generated from FARS to the Dean, department chairs, and SPA Merit and Course Load Committee for the course load review and merit processes. Provide reports using Academic Analytics, data on faculty teaching loads, course evaluations, and merit as requested by the Dean and the Senior Associate Dean for academic affairs.
  4. Support for SPA Faculty Committees: Manage elections for SPA representatives to the Faculty Senate committees and SPA committees using SurveyMonkey or a similar program. Provide administrative support to SPA Merit and Course Load Committee using SharePoint.
  5. Other Duties: This position carries out other duties assigned by the dean and the senior associate dean for academic affairs including managing the SPA Constitution

Required Education and Experience
  • Bachelor's degree or equivalent
  • At least 3 years of administrative support experience in an academic environment
  • Demonstrated computer proficiency, including expertise in Microsoft Word, Excel, Access, PowerPoint, Outlook, and SharePoint
  • Time management skills, detail oriented, and ability to multitask
  • Highly developed interpersonal skills. Excellent communication skills
  • Self-direction
  • Discretion, diplomacy and the ability to deal with confidential material
