  • Responsibilities:
    The employee serves as the front line of the Multicultural Center and as an executive assistant to the Multicultural Center team to ensure smooth, efficient and effective daily operations of the four Centers and the Multicultural Center in which the Centers are housed (Casa Latina Cultural Center, Gwendolyn Brooks Cultural Center, LGBT*QA Resource Center and Women's Center).
    • Manages the day-to-day operations of the Multicultural Center, including handling all foot traffic into the office, screening calls, emails, visitors, and mail; determines needs and personally handles routine inquiries, requests, or problems;
    • Processes financial forms/transactions for the MCC and maintains an awareness of the budget for which the designated member(s) of the unit staff is responsible and participates in day-to-day fiscal decisions; assists with ordering office and building supplies, fiscal event programming and student organization support
    • Maintains the MCC reservation space calendar and administrative commitments; coordinates unit operational projects, meetings, conferences, and/or travel arrangements and monitors and expedites progress;
    • Personal assistant to the Director of the Multicultural Center and support to the Multicultural Center (MCC) team;
    • Submits essential contracts and professional agreements between artists, performers, speakers and Western Illinois University and makes travel arrangements and lodging arrangements for entertainers, performers and speakers
    • Plans, organizes, assigns, and reviews the work of the MCC's student and graduate assistants staff and assists with preparing contracts for; confirms timecards, work schedules and assists with training;
    • Follows routine walkthroughs, records, communicates and takes appropriate action when deemed necessary; maintains or assists in the maintenance of inventory records;
    • Makes cost estimates and comparisons for goods and services; independently makes general supply purchases and researches products, obtains quotes and makes purchasing recommendations for higher cost items;
    • Assists with website updates for the MCC and/or update social media accounts; compiles, summarizes, and organizes information from a variety of sources for use in reports, brochures and publications, such as collecting and writing material for print or electronic newsletters;
    • Assists with planning, organizing, assigning, and reviewing the work of the unit's student employment team and participates in their selection, training, supervision, and evaluation
  • Required Qualifications:
  • High school graduation or equivalent.
  • One (1) year (12 months) of work experience comparable to the second level of this series.
  • Any one or any combination of the following, totaling two (2) years (24 months) of experience in the categories below:
  • work experience performing office/clerical activities, including use of computer systems
  • college or university course work in any curriculum
    • twelve (12) semester hours = six (6) months
    • twenty-four (24) semester hours = twelve (12) months
    • thirty-six (36) semester hours = eighteen (18) months
    • forty-eight (48) semester hours = twenty-four (24) months
  • Starting Salary: $12.966/hour
