The Johns Hopkins Admissions Department seeks anAdmissions Specialist (Academic Services Specialist) who reports to the Director of Executive Education Recruitment & Outreach. This position is responsible for overseeing the data management of all MIPP, MAGP, DIA and non-degree admissions application materials, the coordination of all prospective student interviews and information sessions, administering technical functions of importing and exporting data from external sources, presenting promotional information to prospective applicants. In addition, monitoring/updating Admissions Office web pages for all three mid-career degree programs, and assist in developing statistical and survey tools.

Specific Duties & Responsibilities:

Admissions Functions (50%):

  • Responsible for ensuring the efficient and effective processing of admissions materials submitted as part of the application process.
  • Communicate with applicants regarding on campus and online admissions processes and policies.
  • Assist in the collection, analysis and reporting of admissions statistics throughout the admissions cycle, using admissions software (e.g. SIS, Slate, etc.) and other appropriate sources.
  • Import data into Admissions data systems, identifying and addressing any problems that arise, including working with appropriate information technology staff when necessary.
  • Responsible electronic import of data from external sources including GRE, GMAT, TOEFL, and IELTS test scores.
  • Prepare applicant data for presentation at admissions committee meetings.
  • Liaise with all admissions and non-degree and summer programs staff when needed.
  • Manage email responses for all general admissions inquiries.
  • Processing admission status changes in the SIS system, including deferrals.
  • Ensure the processing of applications and their supporting documents in a timely manner.
  • Correspond with prospects in person, by phone, or email regarding missing materials and admissions status.
  • Match applicants with interviewers and manage the process in a timely manner.
  • Troubleshoot technical questions from applicants.
  • Maintain continuous follow up with all prospects from application to matriculation stage.
  • Read application files for applicants to mid-career programs and to other programs as needed.

Marketing Functions (30%):

  • Work with the admission’s social media coordinator for promotion of various events.
  • Assist with the revision and maintenance of Admissions web site pages and admitted student webpages for all programs.
  • Assist with logistics and operations of on-campus and virtual information sessions, open houses and recruitment fairs, etc.
  • Assist with direct marketing/communication campaigns.
  • Develop ad hoc marketing and admissions reports upon request.
  • Lead information sessions as needed for all degree programs.
  • Travels locally and nationally, when necessary, for networking and recruiting related activities.

Miscellaneous (20%):

  • Work collaboratively and regularly with students, applicants, faculty, SAIS deans and administrators across campuses, as well as external applicants.
  • Participate in general professional development activities for the Admissions Office.

Performs other duties as assigned.

Minimum Qualifications (Mandatory):

  • High School diploma/GED required.
  • A Bachelor’s degree or equivalent experience is preferred.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
  • Three years of administrative/office management experience, preferably in higher education administration (admissions, registrar or financial aid) required.
  • Two or more years of experience and knowledge with integrated database management software, CRM databases and software; proficiency with the Internet, e-mail, Facebook, Twitter and other social media preferred.
  • Experience with Slate or another CRM preferred.

Preferred Qualifications:

  • Experience with Microsoft Project or other project management tools are preferred.
  • HTML experience is a plus.
  • Three+ years of advanced MS Office Suite preferred.
  • Previous experience in an academic setting preferred.

  • Strong interpersonal, analytical, and problem solving skills.
  • Excellent proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint); willingness and ability to learn additional applications as needed.

  • Must be student centered, advisor oriented and have the ability to perform multiple tasks efficiently and effectively.

Computer/Special Needs:

  • Standard Office equipment.
  • PC, Knowledge of SAP, Microsoft Word, Excel, PowerPoint; Outlook and Internet.

Degree of Independent Action Performed:

  • Works under the direction of the Director of the SAIS Washington Admissions Office.

Internal/External Contacts:

  • Department of Student Affairs to include, Office of Student Life, Career Services, Registrar’s, Financial Aid and the International Students, Business Office, the Office of Academic Affairs and Marketing and Communications, and the administrative coordinators of all academic departments.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
