Position Summary:
Job Summary
The Admissions Receptionist serves as the first point of contact for prospective students and their guests when visiting campus. The Admissions Receptionist is responsible for supporting the day-to-day activities related to all campus visits in partnership with the Campus Visit Coordinator and under the supervision of the Senior Associate Director of Admission. Administrative support is also provided to the operations and counseling teams. The Admissions Receptionist answers inbound phone calls to the general Admissions line.
Specific Responsibilities
- Provide superior customer service to prospective students and
their guests.
- Frequently coordinate with the Campus Visit Coordinator to
ensure guest schedules are accurate.
- Act as primary contact for guests to Admissions House. Handle
scheduled appointments who arrive early or late; provide immediate
arrangements for guests with no appointments.
- Utilize Slate to help arrange appointments for guests with
faculty, staff and current students. Update student records in
Slate as needed.
- Arrange itineraries which include meals, tours, class time,
individual meetings, etc. Restructure or reschedule itineraries
upon immediate notice as necessary.
- Answer the main telephone line and monitor the general SU email
inbox. Answer questions when appropriate or transfer to the best
person.
- Work closely with the Athletics Office to coordinate visits
with athletic recruits.
- Support the Student Ambassador program and coordinate their
schedules as needed.
- Maintain and organize the Admissions House lobby.
- Assist with data entry as needed.
Required Qualifications:
Knowledge, Skills, Abilities
Demonstrated ability to stay organized while managing multiple tasks simultaneously.
Knowledge of English language including meaning and spelling of words, rules of composition and grammar. Ability to use both basic software such as Microsoft Office and Outlook in addition to complex software such as our Slate CRM (Customer Relationship Management). Skilled at verbal communications both in-person and over the phone. Ability to work corroboratively with faculty and staff from across campus.
Education
High school degree or equivalent is required.
Experience
Two years’ experience in an office with a high degree of visibility and pressure. Must be comfortable with continual public contact. Experience with various types of office equipment and software systems such as Microsoft Office, Outlook and Customer Relationship Management (CRM) tools.
Physical Demand
Normal office environment. Position requires the ability to stand or sit for extended periods of time. Position requires the ability to move about the campus. Position requires the ability to talk and to hear instruction. Position requires occasional manual dexterity and the ability to use fingers, hands, and arms to feel, handle, and reach. Position requires occasional stooping, crouching and bending. Position requires the ability to occasionally lift up to 10 pounds. Working conditions are indoor.
