    Department Summary

    The Office of Academic Budget & Planning supports the Division of Academic Affairs in the areas of budget management, staffing, and space planning. Services include: Facilitating the Academic Affairs budget process, management and allocation of division funds to academic colleges and units, preparation of budget status reports for managing division budgets, coordination of space and renovations, assisting the Provost with staff human resources, and acting as a liaison to other divisions and units on campus.

    Job Summary

    Under the supervision of the Director, the incumbent will provide high level clerical and administrative support functions for the Office of Academic Budget and Planning such as:

    Budgetary:
  • Use of PS financials, CFS and Data warehouse to run financial reports and queries, maintain logs and oversee budget request process, and hospitality pre-approval process, assist in budget amendment process by ensuring funds availability, and support and maintain small grants and projects.

Space:
  • Maintain request logs for space changes and project proposals, process work orders and assist with the annual space inventory for the division. Support the Academic Affairs Space Committee: Prepare and distribute meeting notes to committee members, collect agenda items for meeting, send reminders and schedule monthly meetings.

Faculty support/Faculty workload:
  • Assist the lead AA/S in a variety of tasks such as document preparation for faculty additional pay, training, and responding to inquiries.
  • Assist the Director by using various Institutional Research dashboards and manipulating data for reports related to faculty workload.

Other
  • Perform some clerical tasks, such as, note taking, calendar maintenance, reminders, and overseeing the ABP email account. Also, assist with other ABP functions as well as Academic Affairs events.


Employment Status: Full-time, probationary, "non-exempt" position (with the possibility of converting to permanent).

Work Schedule

Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.



Key Qualifications
  • Thorough knowledge of office methods, procedures, and practices.
  • Thorough knowledge of correct English, grammar, spelling, and punctuation.
  • A working knowledge of budget policies and procedures is desired.
  • A thorough, detailed knowledge of applicable university infrastructure, policies and procedures is required.
  • A thorough knowledge of office systems and ability to use a broader range of technology, systems, and software packages is preferred.
  • The ability to independently handle multiple work unit priorities and projects is required.
  • The ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist is required.
  • The ability to perform standard business math such as calculate ratios and percentages, track financial data and make simple projections is required.
  • The ability to draft and compose correspondence and standard reports is required.
  • The ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of sensitive nature is required along with the ability to work cooperatively with a diverse group of people.
  • Proficiency in the use of Data Warehouse, CFS, and Excel is required.
  • Take notes at various AB&P meetings, maintain ABP calendar, follow up on action items, send out meeting reminders, requests for agenda items, oversee ABP email account and oversee workflow board.
  • Assist with property inventories, assist with Academic Affairs events, other duties as assigned, consistent with class standards.
  • Other duties as assigned.



Education and Experience

Bachelor's degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Preferred Qualifications
  • Experience working in higher education.
  • The equivalent to three (3) years of experience in general office clerical work is preferred.
  • Proficient in the use of excel and data warehouse systems and knowledge of budget practices.



Salary:

Anticipated Hiring Range: $3,288 - $4,200 per month

Classification Salary Range: $3,288 - $6,347 per month
