MSU Denver’s TRIO Upward Bound program serves first generation, under-resourced college bound students by generating the skills and motivation necessary to complete high school and to enter and succeed in a program of post-secondary education.
The Administrative Coordinator and Advisor provides administrative support including: data collection, outreach, event coordination, logistical and purchasing support for grant-funded programming. In addition, this position serves as the primary advisor for a cohort of high school participants.
This position reports to the Assistant Director and is a federally-funded grant position.

Duties/Responsibilities

75% – Administrative Support
Logistics and Purchasing
• Oversee the filing system of TRIO high school participants to ensure accuracy and compliance with federal reporting standards.
• Administer high school student stipends.
• Provide daily administrative support with budget tracking including expenditure and deposit tracking in the banner finance system and ensuring supply and event budgets are tracked.
• Provide administrative support for the development of Independent contracts, Special Purchase Orders, Purchase Requisitions and other required documentation for spending as outlined by the MSU Denver Grants and Accounting office.
• Cultivate relationships with Auraria Higher Education Center ( AHEC ), MSU Denver, and equipment/supplies representatives and staff with the goal of ensuring sufficient space and resources, and access to services to support the TRIO office.
• Manage supplies inventory and purchase of supplies, as needed.
Data Collection and Grant Compliance Support
• Administer, compile, and analyze Upward Bound and State assessment tests; review and evaluate high school grade and progress reports.
• Ensure all student data is uploaded regularly in the Student Access Database system, including the monitoring of participant involvement in program services and maintain student and office records to ensure student academic progress year-round.
• Develop structures and train assigned student staff to support regular data collection in utilized systems.
• Provide support in the submission of yearly Annual Performance Reporting to the federal government.
Event Coordination: support TRIO HSUB cultural and academic events and campus visits during both the academic year and summer, responsibilities include:
• Calculate event budgets and ensure they are followed.
• Support the securing of agreements with event sites, catering companies, and other external organizations that provide site support for event.
• Initiate, coordinate and/or participate in all efforts to market event to external audiences.
• Design and edit promotional materials.
• Work with staff to create invitee list; conduct outreach, including announcements and invitation; manage RSVP lists.
• Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
15% – Academic Advising Coordination and Support
• Responsible for providing academic advising to a cohort of Upward Bound participants in both the academic year and summer component.
• Support the creation of Individual Education Plans for UB participants each semester, in cooperation with the students, parents/guardians, and their high school instructors to ensure that all participants have the ability to graduate their high school cohort in four years, without a need for remedial classes, and are prepared to enroll and graduate from a post-secondary institution.
• Assist with the recruitment of new students as needed.
• Provide coordination support for the Summer Bridge Program.
10% – Outreach Support and Special Projects
• Ensure TRIO’s website is updated with content that reflects current programming.
• Administer the participant contact database for program participants and their families and ensure it is accurate and accessible and reflects current outreach and contact effort
• Assist with the coordination of outreach materials to program participants and families including parent permission forms and applications.
• Provide phone outreach and follow up support for communication with families.
• Other duties as assigned.

Required Qualifications

• Bachelor’s degree in education, psychology, human services, social work or related field.
• Experience working with urban youth in a TRIO or similar pre-collegiate educational outreach program.
• Experience providing administrative support to include generating multiple reports using Microsoft Office, in particular Excel.
• Experience tracking participant involvement with program services to support student persistence.
• Must be detail-oriented, organized and have the ability to manage multiple priorities
• Demonstrated commitment and experience working with underrepresented, ethnically diverse, and disadvantaged individuals.

Preferred Qualifications

• Familiarity with admissions, financial aid, and career counseling support services.
• Experience collaborating with high school counseling staff to address the academic skills prescribed in the school’s Individual Educational Plan ( IEP ) for student participants.
• Prior experience working on a federally funded program in compliance with Federal rules and regulations.
• Knowledge or experience working under rules of Family Educational Rights and Privacy Act ( FERPA ) and confidentiality standards.
• Current knowledge of Denver Public Schools’ standards and regulations.
• Knowledge of Colorado academic standards.
• Fluency in Spanish.
• Experience coordinating events.
• Excellent communication skills, including writing, speaking, and use of computer applications.

Work Hours

40 hours per week. During the academic year, the work schedule is 9:30 – 6:30 pm two days per week; other days (8:30 am – 5:30 pm); occasional after hours, Saturdays and overnight field trips as required by program activities and trainings.
