The salary range for this position is $45,300- $68,000. The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, education, experience, specialty and training.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. MSU Denver offers a full benefits package.

The Assistant to the Vice Provost for Faculty Affairs reports directly to the Vice Provost for Faculty Affairs and assists in providing customer service and assisting staff and faculty of the University in providing a culture of excellence to our students. This position provides administrative, operational, and technical support for the Vice Provost for Faculty Affairs, as well as administrative support for Academic Affairs.

A strong candidate will be able to build relationships, work independently, be thorough and thoughtful, detail-oriented, and be able to balance a workload of ebbs and flows.

Duties/Responsibilities

Faculty Milestone Tracking and Data Management (50%)
• Track all full-time faculty information and milestones such as hiring, reappointment, tenure, promotion, sabbaticals, and terminations in accordance with university and Board of Trustees’ policies
• Coordinate with Human Resources, Business Intelligence, Academic Affairs fiscals, and school and department staff in order to provide consistent and accurate data regarding faculty
• Prepare, process, and distribute paperwork for Retention, Tenure, and Promotion and Post-Tenure Review letters, and other documents regarding the faculty review and appointment processes
• Ensure that faculty portfolios in Digital Measures are appropriately tracked and secured
• Research, analyze, and compile data for reports on faculty milestones, grievances, position posting, hiring, leave without pay, or any other faculty-related events, as needed, including creating timely, accurate reports
• Design and maintain databases through synthesis of internal data
• Generate data for faculty and emeritus sections of the online Catalog
• Report faculty demographic data to the Office of Diversity, Equity and Inclusion on a bi-annual basis
• Maintain list of all University-level committee memberships
• Maintain up-to-date knowledge of the Faculty Employment Handbook

Academic Affairs (30%)
• Support Vice Provost for Faculty Affairs by managing calendar, scheduling meetings, and correspondence
• Organize and assist Vice Provost for Faculty Affairs with Faculty Workshops for portfolio preparation, new chairs, etc.
• Organize President, Provost, and Department Chair annual meeting
• Annually revise, generate, and distribute guideline manuals on various faculty-related topics
• Provide ad-hoc administrative support to Faculty Affairs-related task forces and committees
• Conduct research on policy issues
• Provide support to the Executive Assistant to the Provost as needed

Administrative (10%)
• Generate and maintain the university Procedural Calendar ensuring that deadlines are both realistic and consistent with university and Board of Trustees policies
• Prepare and post Chairs Report and Deans, Chairs, and Staff Report on Faculty Affairs website
• Ongoing professional development, as appropriate
• Scan and index historical files
• Maintenance of Faculty Affairs website
• Back up support for the front desk, when necessary

Other duties as assigned (10%)

Required Qualifications

• Bachelor’s degree in Business Administration (Management, Human Resource Management) or related field; or an equivalent combination of education and experience (two years of experience equals one year of education)
• Two years of experience with database design and implementation
• Two years of experience in an administrative support role
• Proficient with Microsoft Office Suite, particularly Access database, Word mail-merge, and form design
• Experience editing and proofreading manuals and other complex documents

Preferred Qualifications

• Experience working in an institution of higher education in an administrative role in the office of a Dean or higher
• Experience using Ellucian’s Banner database system
• Knowledge of state and federal regulations regarding confidentiality ( FERPA, HIPAA, GAAP, etc.)
• Experience using Digital Measures
