The Advancement Data Specialist is responsible for maintaining and ensuring the accuracy and integrity of Advancement data.  This data records contact, biographical, relational, philanthropic, and research information for constituents (alumni, donors, friends, etc.).

Essential Duties & Responsibilities

  • Create, review, and maintain records related to Stonehill alumni, parents, donors, friends, staff, and other constituents.  Adhere to all data entry standards and protocols.  Make critical, informed decisions about incoming data updates to ensure data integrity.
  • Develop and manage weekly data entry projects for other staff and student workers to complete.  Monitor student work to verify accuracy and identify training gaps.  
  • Record all pledge information and develop a thorough understanding of all the fundraising processes.  Communicate daily with the gift processor(s).  Maintain pledge documentation according to department standards.
  • Complete a monthly review of all outstanding pledges and prepare and distribute pledge reminders according to established timetables.  Advise fundraisers of overdue pledges.
  • Serve as backup to gift entry staff. 
  • Perform regular data integrity checks of constituent records.  Perform regular data cleanup projects.
  • Assist in data entry training for student workers.  Assist in the development data entry documentation.
  • Conduct research on alumni status, phone, address, and e-contact information using subscribed online resources and tools as well as free internet resources.
  • Coordinate data gathering from campus-wide departments to help update and maintain the database.
  • Test and complete regular data refreshes between the Banner and iModules.
  • Assist the Director with reporting for the annual Voluntary Support of Education (VSE) survey and the CASE alumni engagement survey.

Education & Experience

A high school diploma is required, but an Associate’s is preferred.
