Under the direction of the Executive Director, the Office Assistant position is a well-rounded role that supports the overall daily success of the Lifelong Learning Institute. Good people and organization skills are critical to the success of this role. Good communication skills are required with members, potential members, faculty, potential faculty, community representatives, volunteers and other office staff. Good planning, organizing and task management abilities are necessary, as well as the ability to motivate others and maintain good working relationships. A willingness to be flexible and work synergistically with the Executive Director, other office staff, faculty and members ensures the success of this role. This role also requires good mental and physical condition, with the ability to stoop, bend and lift objects, such as tables, chairs and A/V equipment.

Skill Requirements:
• One year of related administrative experience
• At least one year experience using Microsoft Office (Word, Excel, Access, Outlook, Publisher)
• Ability to adapt to a changing environment and handle multiple priorities

Other duties may be assigned, but typical duties include:
• Process membership applications, both online and paper
• Process class registrations and withdrawals, both online, e-mail and paper
• Review Over/Under and Error Reports
• Send class confirmation report to members at registration and with each add/drop
• Ensure all new e-mails are entered into newsletter system
• Prepare weekly calendar of classes and distribute to various people
• Prepare and publish weekly newsletter with calendar of classes and other articles
• Prepare classroom signs and rosters
• Answer incoming calls
• Greet members and visitors, answer questions as needed and provide information
• Give tours to potential members and faculty
• Log payments for membership and other fees
• Make copies for classes
• Provide instructor and class support, to include equipment and tables/chairs setup
• Distribute, gather and file course evaluations
• Set volunteers up for tasks to be completed
• Email any and all class changes to students and instructors
• Make coffee at opening and rinse carafes at close of day

Required Qualifications
