About the Opportunity:
The Bouve College of Health Sciences at Northeastern University is seeking an Executive Assistant to join and support the College Dean, Carmen Sceppa MD, PhD, FSGA. This integral role seated in the Office of the Dean, will provide high-level, confidential support to the College Dean proactively manage any and all activities and events for the college. A successful candidate must be highly motivated, organized, and self-directed with a high attention to detail to get the job completed accurately and in a timely manner. This role will represent the Dean and College in a professional manner necessitating tact, diplomacy, discretion and good judgment.

Responsibilities:
The Executive Assistant provides a broad range of administrative, organizational, and functional support and assists the Dean on a broad range of internal and external activities that pertain to the mission of the college, including organizing and managing all facets of any internal and external meetings and communications with/for the Dean. The Executive Assistant will report to the Associate Director of Strategic Initiatives and work closely with the Associate Director and the Dean to execute a variety of time-sensitive and complex responsibilities including interfacing with university leaders, alumni, donors, and community members on administrative, substantive and confidential matters. This includes assisting in mobilizing, tracking and completing key projects, monitoring the work of college's standing and ad hoc committees, facilitating college-wide faculty and staff meetings, and compiling background data and documents as needed. Other key administrative responsibilities include maintaining and organizing the Dean's calendar, including meetings, travel arrangements, speaking engagements and attendance at conferences; drafting, editing and distributing correspondence, agendas, and meeting minutes; assisting with special projects as assigned; and managing systems and processes on behalf of the Dean with respect to Concur expenses including reconciliation of university credit card and reimbursements, Time Tracking, etc.

The Executive Assistant to the Dean will have daily reviews with the Dean regarding the day's priorities and appropriate action required to ensure all goals and support needs of the Dean are met. In collaboration with the Associate Director of Strategic Initiatives, the Executive Assistant will provide planning and oversight to ensure that the Dean's time is effectively allocated and coordinate follow up on action items as appropriate to ensure key projects are executed in accordance with the Dean's priorities and college goals.

This Executive Assistant must be able to communicate professionally and effectively on behalf of the Dean and will manage relations with key constituents, frequently communicating with staff in the Offices of the President, Provost, and Chancellor, Faculty Senate, Development, Alumni Relations, Marketing and Communications, Office of General Counsel, etc.; as well as with the college's leadership (Associate/Assistant Deans, Chairs, Directors, Faculty and Staff Councils, Faculty Senators), staff and students. This individual must demonstrate significant independent judgement in identifying and resolving potential conflicts and use diplomacy to respond quickly and efficiently to scheduling changes.

Qualifications:
Bachelor's Degree required, Master's degree preferred. A minimum of 3-5 years of progressively responsible executive support experience required, preferably in higher education or executive setting. Demonstrated ability to manage priorities in a fast-paced environment on a broad range of issues and to develop options for immediate resolution. Excellent communication and critical thinking skills, project management ability and attention to detail required. Excellent computer skills including proficiency in MS Office Suite, presentation, Outlook email, spreadsheet and database software. Individual must have strong organizational, communication (both oral and written), and interpersonal skills. Must be detail-oriented, able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must be able to take initiative and follow through on tasks independently. Must possess a thorough knowledge of professional office procedures, good judgment, discretion and problem-solving skills.
