Summary

JohnsHopkinsUniversityis averylarge($6.5billionin2020operating revenues;nearly$10billionin2020netassets and~$600millioninannual capital expenditures),highlydecentralizedandcomplexinstitution,withsignificantlocal resourcecontrolanddecision-making responsibility.TheUniversityismadeupofnineacademicdivisions,SheridanLibraries,theAppliedPhysicsLaboratory,andseveralindependentinstitutes.

TheSeniorManagerforFinanceandAdministrationwillprovideleadershiptothefinanceandaccountingareasfortheOfficeofDevelopmentandAlumniRelations.Thispositionwillserveas a member ofseniorleadershipintheDARBusinessOffice.Responsibilitiesincludeproviding leadershipanddirectionoverstrategicfinancial planning,management,reporting,anddataanalysis.Reporting totheSeniorAssociateVicePresidentforDevelopmentandAlumniRelations,theywillworkcloselywiththeOfficeoftheVicePresidentforDevelopmentandAlumniRelationstoestablishplansandbudgetstobestpositionthebusinessunittoachievestrategicbusinessobjectives.Inaddition,they willserve astheprimarycontactwith UniversityAdministration(UA)Finance,with asecondaryreporttotheSr. DirectorofFinanceandAdministrationforUA.

TheSeniorManagerforFinanceandAdministrationwillcreateandmaintainasoundfinancialenvironmentandmaintainthehigheststandardsforintegrityandgeneralbusinesspractices.Responsibilitieswillincludestrategicfinancialplanning,managementandreporting (including payroll),dataanalysis,datavisualization,andforecasting fortheVP Suite.Inaddition,theywillworkcloselywithmanagerstoensuretimelyandaccuratereporting offinancialinformationtomonitoraccountsandresolveproblems,ensurecompliance,safeguardresources,andreducerisks.

Specificresponsibilitiesinclude: Developandmanageannual generalfundsanddiscretionaryoperating budgetsforcentralDevelopmentandAlumniRelations(DAR)($42million+). Consistentlyreviewandmonitorcentraldepartmentbudgets. Calculatevariancesfrom thebudgetandreportonsignificant issues.

BudgetPlanningandManagement(30%)

    ParticipatewiththeProjectManagerforvariouscapitalprojects(CRMReplacement,Founder’sWallExpansion,etc.)toensurethattheprojectiscreatedandaccountedforcorrectlyinSAP andthatthebudgetandexpensesarereflectedproperlyinfinancialresults.Workwithotherdivisionsasnecessaryforjointprojects.Ensurethat funding isallocatedinaccordancewithsourcing agreements.
    ProvideandpresentwrittenquarterlyreportstotheVPSuitethatincludetheyear-to-datebudget,forecasting,andtrendsinthedivisionsanddepartmentsthatwillbetterinformrecommendations andstrategiesforDevelopmentofAlumniRelations.
    UtilizecreativedatavisualizationmethodstocommunicatebudgetinformationtoExecutiveLeadership

FinancialPlanningandAnalysis(20%)

    Perform in-depthanalysisofbudgetandforecastingusingtrendsandknowledgeofoperational andstrategicplan.Provide numerousversionsofprojectionsincludingdivisional,program,natural class,expensecategory,etc.
    Provideuseful financial insightstohelp makebetterdecisionsaboutformulating andexecuting strategy,andprovideguidanceandanalysistoexecutiveandoperationalmanagementtoimproveresults.
    DevelopmaterialsforDARExecutivestaffmeetingstoaddresscurrentandprojectedexpenses. Modelexpectedgiftassessmentincome.
    Prepareavarietyofadhocfinancial scenariosas requested.
    Developafinancial andadministrativeplanthatsupportstheorganization’sshort-andlong-term strategicobjectivescollaboratingwithVP,ExecutiveStaff,programmanagers,anddivisional staff.
    ProviderecommendationstoDARLeadershipregardingstrategiestoconformtobudgetarypoliciesandguidelines.
    Serveas primarycontactforDARprogrammanagersregarding spendingexpectationsandapproval ofunbudgetedexpenditures.
    Managethemonthlyreconciliation,review,anddistributionofreportsensuringaccuracyandtimelydistribution. Meetwithprogrammanagersandbudgetstaffasneeded.
    Utilizecreativedatavisualizationmethodsforfinancial reporting andscenarioplanningwhencommunicatingwithExecutiveLeadership.

AdministrativeDuties(15%)

    Responsibleforfacilitiesmanagementtoincludespaceandphysical facilities. ResponsibleforSanMartinCenter(SMC)receptionareaandgeneralbuilding issues,including printercontracts,shredding,refreshments,conferencerooms,andgeneralupkeep.
    Serveas primarycontactforFacilities,Maintenance,andRealEstate.ServeasSMCrepresentativeforallissuesregardingSMCphysicalplantas well asoccupiedspacesatKeswickforAdvancementServices.
    WorkwithTalentManagementandHumanResourcesonspaceplanning.Withinthenextfiscalyear, willberesponsibleformoving team membersfromSMCtoanewphysical location.Will manageanyfuturemovesofCentral DevelopmentandAlumniRelationsstaff.

TransactionProcessing:AccountsPayableandReceivable(10%)

    Managethefinancial processessuchaspurchasing,invoicepayment,andpayrollactionsworkingwithinUniversitypolicyandprocedures.
    Serveas primarycontactforSharedServicesregardingchanging policiesandprocedures.Makefinal decisionregarding interpretationofthosepoliciesforDARexpenditures.SetnewDARpoliciesasneeded.ServeasDARrepresentativefortravelissues.
    Managedevelopmentanddeliveryoftraining regardingaccountspayabletoDARstafftoensureunderstanding ofandcompliancewith UniversityandDARpolicies.
Compliance:StateLicensingand990Support(5%)
    WorkwithTaxDepartmenttoprovideDARdataneededforpreparationofannual990Report.Participateasneededindiscussionsregardingchangingand/orsupplementing datarequirements.
    Overseestateregistrationfilings.Coordinateinformation gatheringneededtocomplywithindividualstateregistrationrequirementstoallowforsolicitationofdonationsonbehalfofJohnsHopkinsUniversity. ProvidedatatoPerlman+Perlman,thefirmresponsibleforfilingregistrationswiththestates.Procuresignaturesfrom Universityleadershipasneeded.

Human Resources(5%)

        PartnerwithExecutiveDirectorofHumanResourcesonsalaryreviewsandnegotiations,andonannual workforceplanning,merit/annualreviews,equitystudies,etc.
      Overseepayrollprocessing toensureaccuracy,completeness,andtimelinessfornewstaff,annual reviews,andFML/LOA,etc.
      Serveas primarycontactforUAFinanceregardingheadcountcontrol.
      Budgetforcostofincentiveprogram. Perform projectionsofexpectedpayout.
      ManagerequestsforchangesinpositionsforDARincluding filling vacancies,changesinsalaryduetoequityadjustmentsand/orpromotions,andutilizationofStrategicInvestmentdollarsforDAR.

Surveysand CostofFundraising(5%)

          Managedevelopmentofannual costoffundraisingreportsforalldivisionsandunitswithintheorganization,maintaining forbothFYandcampaign(totalbudget$80million+).
        Managecompletionofvarioussurveysandreports(ChronicleofPhilanthropy,AdvancementLeadershipForum,CASE,etc.)asneeded. Performtrendandqualityanalysis.

ManagementandOther(10%)

    Manageateam of3employeeswiththeauthoritytohire,evaluate,andterminate.
ParticipateinmonthlyUAFinanceManagermeetings.Workwith membersoftheBusinessOfficetoensurecompliancewithUniversityFinancialpolicy.ParticipateinUniversityAdministrationworkgroupsandinitiatives. Otherdutiesas assigned.

Qualifications

Required:Bachelor’sdegree inFinance,AccountingorBusiness, fiveormoreyearsofrelevantfinancial/budgetplanning andmanagement. Advancedknowledgeandexperiencewithfinancialsoftwareapplications,enterpriseresearchmanagementsystems,databases,andspreadsheets.StrongskillsrequiredinExcel. Mustbehighlyskilledatpresenting databothin writingandorally.Abilitytodemonstrateintellectual curiosityandflexibilityasneeded.

Preferred:Experiencein highereducationsetting,fundraising,research,orhealthcareenvironment;master’sdegreeorCPA;knowledgeofHopkinsfinancial andpayroll systemsanduniversitypolicyandprocedures.Experienceworking with CSuiteleaders.
