Job Description:

The Fixel Institute is seeking a talented and dedicated Scientific Laboratory Manager responsible for the planning, organizing, and directing the daily activities for the laboratory of Dr. Christopher Butson. Responsibilities include managing several NIH-sponsored clinical trials, research projects and budgets, standard operating procedure development and implementation, and outcomes monitoring in the research areas of traumatic brain injury, epilepsy, Lennox-Gastaut syndrome, and Tourette syndrome. This position requires a high level of independence, initiative, and leadership to oversee the operations of the laboratory. Ability to make critical decisions and extensive knowledge of research/laboratory management is essential to leading the set up and growth of this new laboratory. Ideal candidate is a self starter with a Master’s degree or PhD in science, engineering or related fields and 4 years of research management experience.

Essential functions of the position:

Laboratory Management

Develop, implement, and evaluates standard operating procedures and protocols for laboratory operations in collaboration with Dr. Butson to assure efficiency and compliance. Serve as a safety supervisor ensuring safety guidelines are clear, coordinating safety and compliance trainings, and promoting a safe work environment. Maintain protocols and other materials for laboratory. Responsible for overseeing equipment, inventory, and work orders needs for the laboratory, including researching, purchasing, maintenance, and training. Coordinate recruitment and onboarding of laboratory personnel with the Fixel Institute administrative team. Administrative supervisor to laboratory personnel in collaboration with Dr. Butson.

Project Management

Research: Oversee life cycle of studies, including development of timeline, standardization of procedures across multiple sites, and ensuring progress is made towards milestones and deadlines. Provide regulatory support for the development of protocols including monitoring plan and data quality plan, delegation of responsibilities to personnel and oversee their work, and manage resource allocation to ensure project milestones and goals are met. Develop regulatory submissions, case report/record forms (CRFs), documentation of NIH milestones, Investigational Device Exemption (IDE) applications, Informed Consent Forms (ICFs), and Trial Master Files. Coordinate development/assembly of grant proposals with the Department of Neurology’s research administration team. Serve as the research administrative liaison for Dr. Butson to ensure a smooth administration and coordination of research awards. Oversee communication between multiple sites, external vendors, and collaborators, including actively disseminating information regarding study updates, new research, and resources available, coordinating meetings, and troubleshooting challenges as they arise.

Financial: Responsible for systematic monitoring of awards and start-up funding, including the creation of a tracking process for the laboratory. Track all spending and project spending patterns. Address actual and potential problems with Dr. Butson and the research administration team. Ensures all financial expenditures are in compliance with university and sponsor guidelines, ensures appropriate back-up documentation is provided. Supports Dr. Butson with strategic planning and auditing needs.

Administrative: Manage the calendar and prepare documents, correspondence, presentations for Dr. Butson. Take attendance and minutes at laboratory meetings. Coordinate logistics of meetings, visits, seminars, conferences, and other engagements as assigned. Manages communications including correspondence and phone calls for the laboratory. Liaison to departmental webmaster for updating sections related to personnel, research and publications in the laboratory. Liaison to the Department of Neurology administrative team regarding effort, space allocation, and other administrative needs for the laboratory. May occasionally be asked to travel for business purposes, to assist Dr. Butson. May occasionally operate a motor vehicle for business purposes, including but not limited to activities such as chauffeuring faculty recruits or visiting professors.

Expected Salary:

$75,000 to $85,000

Minimum Requirements:
  • Bachelor’s degree in an appropriate area and two years of relevant experience. Appropriate college course work may substitute at an equivalent rate for the required experience.
  • A valid driver license is required.
Preferred Qualifications:
  • Master’s or Ph.D. degree in science, engineering or related fields.
  • +4 years of research management/coordination experience.
  • Demonstrated leadership skills in planning and directing personnel and processes to ensure successful operation of a laboratory and studies.
  • Ability to communicate, collaborate, and maintain relationships with faculty, staff, community partners, and external agencies from a variety of diverse backgrounds.
  • Ability to work independently, manage projects, and determine priorities while maintaining a high degree of professionalism and confidentiality.
  • Demonstrated organizational skills with proven ability to effectively prioritize workload and be proactive to meet deadlines.
  • High proficiency in Adobe Pro and Microsoft Office including Word, Excel.
  • Familiarity with collaborative tools e.g. Zoom, OneNote, Evernote, Jupyter Notebook, Trello, Dropbox.
  • Knowledge of:
    • Grant administration including financial management, auditing and compliance.
    • University regulations and procedures in the purchasing, effort, and payroll.
    • Institutional Review Board (IRB) policies and procedures.
    • Environmental Health & Safety (EH&S) lab and research safety compliance.
