The School of STEM has an exciting opportunity for a dedicated, flexible, and enthusiastic individual to support and coordinate processes for faculty recruiting, new appointment processing, faculty onboarding activities. promotion and tenure reappointments, merit reviews and other tasks as assigned. This position serves a critical role in the expansion and growth plans for the School of Science, Technology, Engineering and Mathematics, and reports to the Faculty and Administrative Affairs Specialist. Excellent communication skills and the ability to manage multiple, complex, deadline-driven processes under time pressure are crucial for success in this fast-paced position, as is the knowledge of university personnel and academic personnel policies.

RESPONSIBILITIES

Under the direction of the Faculty and Academic Affairs Specialist you will coordinate processes for faculty recruiting and facilitate application materials collection and sharing for the following: search and hire, reappointment, promotion and merit processes:

• Assist with academic personnel processing including following and interpreting university procedures and processes for new faculty appointments and document compliance;
• Follow university procedures and processes for new faculty appointments and document compliance;
• Produce part-time faculty quarterly offer letters and maintain retention records;
• Coordinate personnel promotion and merit review processes using online tools;
• Assist search committee chairs with coordinating and managing faculty searches, including advertisement of faculty positions in national publications/websites, independently corresponding with candidates, independently coordinating and guiding processes with search committees, and coordinating travel and detailed interview scheduling;
• Maintain filing systems for accurate record keeping by following audit and retention policies.

Miscellaneous:

• Develop and implement long term strategies for improving efficiencies (i.e., contribute to the faculty resources online guide with information pertinent to new faculty; maintain a process log for new appointments; etc.);
• Provide general office support including, but not limited to, data entry, preparing reports and spreadsheets, handling mail merge correspondence, making telephone calls, researching information for program staff, web updates, and filing;
• Assist with other projects as assigned.

MINIMUM REQUIREMENTS:

• High school graduation or equivalent AND two years of experience in support of academic programs OR equivalent education/experience.

ADDITIONAL REQUIREMENTS:

• Proficient in Word and Excel and scheduling/calendaring software;
• Demonstrated experience with event planning for faculty searches.
• Strong organizational skills including the ability to efficiently manage multiple priorities, attention to detail, and well organized;
• Excellent written, verbal, and interpersonal communication skills;
• Ability to work independently under general rather than close supervision.
• Demonstrated ability to work with internal and external diverse constituents, including students, faculty and staff.

DESIRED:

• Bachelor’s degree;
• Experience with University’s Interfolio Faculty Search, Catalyst tools, Canvas, SharePoint, Google Docs, and Workday

CONDITIONS OF EMPLOYMENT:

• The person will work regular business hours from 8:30am – 5pm, M-F with occasional overtime.
• Must be able to remain in one place, either sitting or using an optional standing desk, for long periods.
• This position will be located in an open-office environment, with frequent interruptions.
• Work will be performed across UW Bothell campus. This role is required to travel/walk to other buildings on campus as needed
