Executive Assistant to the Dean of Students

Chatham University has an immediate opening for an Executive Assistant to the Dean of Students. As a staff member of the Student Affairs department, the Executive Assistant is responsible for supporting the Dean of Students and the mission of the Division of Student Affairs: specifically, in providing administrative and organization support directly to the Dean, manage the front office and coordinate cross-functional collaboration and projects to address student needs, develop initiatives, plan and execute events. The Executive Assistant should be a positive role model who is committed to student affairs, co-curricular experiences, and the specific needs of our key student populations. The position involves high student contact and evening and weekend hours. .

Key Duties and Responsibilities:

  • Participate as a committed team member of the Student Affairs staff in University and division committee work, projects, and overall community development: assist in the coordination of co-curricular activities and serves for students.
  • Possess extensive knowledge of policies, procedures, and organization of the division, as well as outstanding ability in specialized office skills including creating and maintaining filing system and handling confidential correspondence, coordinating and maintaining complex appointment calendar, handling phone calls and taking messages, greeting visitors, making appropriate referrals, providing students, faculty, staff and public with detailed information regarding departmental procedures and functions; arrangements for meetings, travel, handling correspondences including drafting and editing.
  • Oversee fiscal matters for Office of Student Affairs such as initiating and processing purchase orders, check requests, credit card usage, payment of bills, reconciling accounts, assisting with budgetary projects and maintaining fiscal records.


  • Bachelor's degree required. Master's degree in Higher Education, Student Personnel or related field and one-year experience in events planning/ student activities programming and development preferred.
  • Must be detailed oriented with excellent planning, organizational and management abilities, have strong nurturing/interpersonal communication skills both verbal and written, ability to maintain positive customer service relations, and continuously helpful attitude to both the campus community and external customers.
  • Possess an understanding of student development, supervisory experience and a commitment to improving the lives of students; the ability to work in a team-oriented environment with an emphasis on collaboration, a demonstrated commitment to diversity and tact and diplomacy in handling sensitive and/or confidential matters required.
