Department Summary
The College of Arts and Sciences (CAS) consists of one administrative and three academic divisions. These divisions comprise 45 departments and programs that employ approximately 1,600 people (faculty, graduate employees, classified staff and officers of administration). Over half of the approximately 23,000 students at the University of Oregon are in CAS, and CAS is at the heart of the University's teaching and research mission.

Position Summary
This position provides support to the undergraduate program(s) for the Psychology department in CAS. Depending on the particular assignment at a given time, the duties of this position may include:
  • Entering department class schedules or registration/enrollment details into the Banner human resources information system (HRIS);
  • Answering questions from undergraduate students about registration, declaring majors and minors, degree requirements;
  • Assisting faculty and graduate advisors with advising data and collaborating with advising partners across campus from Tykeson advising, Office of Academic Advising, International Student Services, and Services for Student Athletes;
  • Attending Undergraduate Education Committee (UEC) meetings, maintain meeting notes, providing needed reports for the committee chair, and following up on UEC projects as needed;
  • Planning the department commencement ceremony;
  • Maintaining student records;
  • Web and listserv maintenance;
  • Office administration tasks such as ordering supplies, maintaining the copier, and reserving rooms;
  • Reception duties for the main office.

    This position works fairly independently on a varied set of tasks and projects, conferring with the department manager as needed in non-routine situations. The position has frequent communication with other staff in the department, as well as faculty and students. It also works with staff from other UO offices, such as the Office of the Registrar, Event Services, First-Year Programs, and Mail Services.

    Minimum Requirements
  • Three years of general clerical experience. Two years of which includes typing, word processing, or other experience generating documents; OR
  • An Associate's degree in Office Occupations or Office Technology; OR
  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Adaptability in an environment of change.
  • Ability to analyze and track large volumes of data/information on an on-going basis, and to correct identified discrepancies.
  • Strong interpersonal communication skills to work with faculty and staff from multiple units with multiple unit cultures.
  • Good listening and communication skills to help students with their questions and problems.
  • Ability to communicate effectively (in writing, in person, on the phone) with individuals from diverse backgrounds and cultures.
  • Ability to manage confidential material in a sensitive manner.
  • Ability to learn UO academic policies, practices, and processes, and apply these accurately in daily work.

    Preferred Qualifications
  • Experience in a college or university setting.
  • Experience in an academic advising setting.
  • Experience planning and/or coordinating events.
  • Bachelor's degree
