The Department of Mathematics is an instructional and research department within the College of Arts and Sciences (CAS). The department includes approximately 200 affiliated personnel consisting of teaching faculty, emeritus faculty, research staff, graduate employees, administrative staff, and student workers. The Department of Mathematics has over 300 undergraduate majors, 65-70 graduate students, and offers courses enrolling over 13,000 students per year. The department supports significant research activities in a wide range of fields and is dedicated to education and research. It provides instruction at all levels of mathematics, from undergraduate service courses through an extensive graduate program leading to PhD in several specific areas of mathematics, along with K-12 outreach programs including Math Circle and OIMT.
The Human Resources & Administrative Assistant (Admin Assistant) provides support functions within the Department of Mathematics. Half of the responsibilities for this position will focus on the administrative functions of HR including recruitment, contracts, leave requests, and payroll and time-entry for approximately 175 department personnel including faculty, graduate, classified, and student employees. This position assists with promotion and tenure files along with midterm, post-tenure, contract, and peer evaluation files.
The other half of the work will focus on event planning, building support, inventory control, website updates, and general office support. Responsibilities will include independent planning and execution of department and faculty events, fundraisers, and seminars; coordinating building maintenance and access; overseeing inventory documentation, auditing, and purchasing; and general office support including filing, mail distribution, report generation, website updates, and independent project work.
The Admin Assistant will use independent judgment to analyze problems and make decisions about solutions. Responsibilities include maintenance of both digital and paper filing systems for all human resource transactions; review and verification of contracts; and oversight of payroll processes, tracking of errors, and correction of entries.
The position will also provide assistance on all general office duties and assist the Department Manager with special projects.
- Two years of general clerical experience. One year of which
included typing, word processing, or other experience generating
- An Associate's degree in Office Occupations or Office
- Graduation from a private school of business with a Certificate
in Office Occupations or Office Technology and one year of general
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
- Ability to provide superior customer service, and maintain
composure during stressful situations

- Ability to work effectively in a team environment with all

with fluctuating and time-sensitive deadlines
- Proficiency with computer-based software including Word, Excel,
and Windows and the ability to learn University electronic
- Demonstrated commitment to working effectively with individuals
from internationally diverse backgrounds in support of an inclusive
and welcoming environment
- Experience planning events for 5 to 100 guests
- Experience with WordPress, Drupal, or similar website editor
- University/higher education experience interpreting and
enforcing policy, rules, and regulations
- Experience processing and reporting on payroll, accounts
payable, travel, and moving activities
- Experience working with Banner Information System and
FLSA Exempt: No
