Administrative Specialist

 

Coastal Carolina University is accepting applications for the following position: Administrative Specialist (Administrative Specialist II) for the Music (Band) Department and the Department of Philosophy/Religion in the Edwards College of Humanities.

 

Duties include, but are not limited to:   prepares executive correspondence, memorandums, forms and reports; assists with the preparation/distribution of course syllabi, examinations, instructional material, and faculty/student Travel Authorizations; creates and maintains departmental files for correspondence, faculty searches, and student advising; maintains daily and long-range schedule for the Chair of the Department of Philosophy and Religious Studies and the Director of Athletic Bands, Music; records/distributes minutes of departmental meetings as required.; processes incoming/outgoing mail, and coordinates several mass mailings a year. consolidates course syllabi on a semester basis; coordinates venue location and catering requirements for special events in cooperation with the Chair of the Department and/or the instrumental faculty and ensemble directors.  Events include, but not limited to, Band concerts, auditions, Honors band;  serves as primary point-­of-contact for ordering band supplies/department supplies from on-campus and commercial entities as well as maintain inventory and repair logs of all instruments, equipment, uniforms, etc. associated with all facets of the CCU band program; preparing purchase requisitions (PR), processing orders for printing for department/band production materials; maintaining budget records for department, and coordinating paperwork for budget and travel; retrieving and processing Datatel information as requested by faculty and students (e.g. student transcripts, student schedules, course schedule, academic advisors); producing documents/ data; preparing, distributing and filing required Human Resources forms for employment of departmental faculty and temporary staff; providing exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large; assisting students and faculty of required submission deadlines for academic matters and plans accordingly; addressing emergency, unexpected, and confidential situations as they arise; advertising, interviewing, hiring and scheduling work-study students; and performing other duties as assigned.

 

Requirements: High school diploma or equivalent (GED) and two (2) years of administrative related work experience are required.  Equivalent education, training, and experience may be considered.
