Position Purpose: The Administrative Assistant supports learning through the successful operation of the John C. Dunham STEM Partnership School by providing quality administrative and clerical assistance to the Co-Directors of the school, STEM Liaison, teaching staff, students, parents and partners at large.

  • Essential Job Functions:

  • Provides administrative and clerical support to the Co-Directors, STEM Liaison, and the teaching staff.
  • Responds to phone inquiries; greets all who enter the office; communicates electronically with students, staff, faculty, parents, and partners; and delivers service to school stakeholders in a way that reflects positively upon the school and the University.
  • Prepares correspondence, reports, meeting summaries, and documents as requested.
  • Performs general office duties, including copying, faxing, ordering office supplies, filing and distributing the mail.
  • Submits purchase order requisitions and tracks expenditures in monthly budget reports for designated programs.
  • Assists Co-Directors by keeping them abreast of due dates, appointments, and calendar of events; maintains steady line of communication with the Co-Directors.
  • Places periodic orders for instructional materials, coordinates delivery and distribution of the materials to appropriate staff; maintains inventory of school forms and office supplies.
  • Assists Co-Directors in planning and organizing school events.
  • Works with confidential and highly sensitive information using discretion, sound judgement and professionalism.
  • Assists in preparation and distribution of regular newsletters to parents.
  • Prepares materials for the beginning of the school year, i.e. handbook, schedules, calendars, supply lists, etc.
  • Assists in the preparation of local, state and federal reporting.
  • Other duties as assigned by the Co-Directors


  • Essential Job Requirements:

    Education:

    • High School Diploma required. College degree preferred


    Experience:

    • Prior work in a school office environment preferred.


    Skills:

    • Excellent organizational skills with attention to detail.
    • Excellent computer skills
    • Excellent oral and written communication skills required.
    • Fluency in Spanish speaking and writing preferred


    Physical Requirements:

    • Ability to communicate verbally, through computer, and other digital media.
    • Ability to move about campus.
