Position Summary

The Program Coordinator assists the Grants office through pre-award and planning program coordination, organizing resources for the Grants Office. The incumbent provides day-to-day facilitation of planning activity and identifies resolutions for grant development issues. The role develops concepts with project teams and assists in writing proposals, ensuring compliant, complete, and efficient submissions of proposals aligned to department processes and College priorities.

Grants Office Program Coordination

Facilitation of pre-award information, assists in resolution of routine grant development issues, assists in the creation procedures, processes, and requirements, and performs other customer service responsibilities. Coordinates scheduling for Grants Office planning activities. Completes special projects as assigned. Determines and implements methods and research for completing projects in consideration of overall goal and project results. Takes an active role in coordinating communication with stakeholders throughout the College on their interests in grant planning.

Grants Development Assistance

Continuously and proactively researches available grant opportunities for college departments that align with institutional strategic objectives and departmental goals. Collaborates with Grants Office Director, Supervisor, Grants Development Project Manager, and project teams effectively utilizing Compression Planning tools to organize thoughts and help teams synthesize
ideas into a concept. Quickly learns general understanding of new subjects to assist in guiding projects in an efficient manner and align to potential grant opportunities. Consistently exhibits organized, detail-oriented planning with effective notetaking ability throughout the grant development process.

Grant Writing

Prepares content and drafts proposals. Proofreads written sections to ensure accurate grammatical and spelling usage as well as appropriate response to each required section. Provides recommended language to improve proposals. Able to request additional information concisely and effectively from project team. Works effectively with the Office of Institutional Effectiveness to
request and synthesize data for proposals. Writes overviews, summaries, and concept papers requiring the drawing of conclusions and organized thought.

Facilitates weekly pre-award meetings and monthly report.

Grants Service Partner Collaboration

Assists the Grants Office leadership in the pre-award development and relationship building with external contractual services the Grants Office provides to other institutions. Schedules meetings and prepares planning sessions for grant development. Answers questions and responds to inquiries. Provides a monthly report to each grant services partner institution. Maintains excellent working relations with the public, faculty and internal contacts as a representative of the College, Grants Office, and of the Director. Advises and influences Grants Office customers on various matters.

Minimum Qualifications:

Associate’s Degree in English, Business, Communication, or an appropriately-related field of study. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
