Johns Hopkins at SAIS seeks a China Global Research Center Administrator (Administrative Services Manager) who will provide high level support managing, coordinating, and facilitating the accomplishment of goals, objectives, strategic and tactical initiatives of the SAIS China Global Research Center (SCGRC). Duties include but are not limited to event planning and execution, internal and external communications, grant management and development research and outreach. An important part of the position is to represent and support the Director and Executive Director of the SCGRC as they work closely with important internal and external stakeholders across the SAIS/Johns Hopkins community, as well as China scholars in academic and policymakers in government, business, and the non-profit sector. Assumes full responsibility of special projects for the center.

Specific Duties & Responsibilities:

Administrative, Programmatic and Research Project Management:

  • Develops institutional relationships and ensures that the SCGRC is well linked with the Homewood, HNC and Bologna campuses.
  • Leads the China fellowship, visiting scholar, and postdoc programs.
  • Administers Center research and travel funding.
  • Responsible for collaboration/coordination of visas for visiting scholars and postdocs.
  • Serves as principal office manager, handling reimbursements, independent contractor agreements and honoraria payments.
  • Leads the staffing, recruitment, and supervision of research assistants and student workers.

Budget:

  • Plans and collaborates with the SCGRC Executive Director, to develop and manage the SCGRC annual operating budgets.
  • Partners the Executive Director to ensure department expenditures fall within the budget guidelines established for the fiscal year (reviewing monthly reports, determining use of discretionary budgets for internships, study trips, and so on).
  • Oversees budgeting for programmatic and administrative activities.

Development:

  • Leads the research of new development opportunities, drafts funding proposals working with the SCGRC Director and Executive Director.
  • Plans and coordinates the administration of and reporting of grants.
  • Tracks activities of the SCGRCs for reporting purposes.
  • Liaises with Development and Alumni Relations.
  • Assists with fundraising for specific projects as they take shape.

Event Planning and Execution:

  • Leads and coordinates meetings, seminars, conferences and events, in collaboration with the SCGRC Director, Executive Director, SAIS faculty, SCGRC fellows and visiting scholars, students and staff as appropriate.
  • Plans and collaborates with other administrative staff, to organize program events, meetings, conferences, and coordinating, and overseeing logistics that includes drafting working agendas, negotiating terms, ordering meals, room reservations, equipment, coordinating schedules and tracking invitations.
  • Directs, plans, and organizes regular research roundtables and annual SCGRC conference.

Outreach and Communications:

  • Organizes, updates, and maintain all areas of the SCGRC website.
  • Maintains all social media accounts (Twitter, Instagram, and Facebook) and coordinates with staff for content.
  • Designs and produces content for weekly blog posts (this may include managing regular teams of student workers).
  • Coordinates with the SAIS Communications & Marketing Office to plan, design, and manage all print and digital advertisements and promotional materials.
  • Coordinates outreach for professional and student-run conferences including digital and print advertising, mailing materials, and designating staff participation.
  • Updates and maintains stakeholder/network database.
  • Coordinates annual advisory council meetings.
  • Produces SCGRCAnnual Report.

Other duties as assigned.

Minimum Qualifications (Mandatory):

  • Bachelor’s Degree required, Master’s degree preferred.
  • Four years of related experience required.
  • Additional education may be substituted for years of related experience, to the extent permitted by the JHU equivalency formula.
  • Superior interpersonal, analytical, and problem-solving skills.
  • Excellent communication skills both oral and written.
  • Ability to work independently and as part of a team.
  • Strong planning and organizational skills and the ability to manage competing priorities.
  • Have exceptional initiative and judgment.
  • Strong marketing skills and customer-service orientation.
  • Ability to work effectively with faculty, administrators, students, alumni and external constituents.
  • Willingness to travel extensively, both domestically and internationally.
  • Proficiency in basic data management systems and basic computer applications (e.g., Word, Excel, Access, PowerPoint); willingness and ability to learn additional applications as needed (SLATE, OnBase, SIS).
  • Commitment to diversity and to serving the needs of a diverse population.

Preferred Qualifications:

  • Chinese language proficiency strongly preferred.
  • International living experience in Asia.
  • Two or more years’ experience with the undergraduate educational system or admissions experience.
  • Familiarity with study abroad programs.
  • Financial planning and budget experience.

JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
