Reporting to the Operations Specialist, the Office Coordinator will provide administrative support to faculty administrators, and customer orientated assistance to faculty, teaching assistants, staff, and others and is present in the office to provide services to campus constituents.
Typical responsibilities include, but are not limited to: coordinating textbook and desk book orders and maintaining gradebooks; liaison between faculty, bookstore and outside book vendors; processing travel reimbursements; entering weekly payroll, serving as backup for semi-monthly payroll time entry; assisting with syllabi and final exam copying/preparation; assisting with Mathematics web site updates; assisting customers in the Mathematics office; assisting Associate Chair of Graduate Studies and Director of Applied Statistics with processing graduate admissions; maintaining various department spreadsheets; assisting with add/drop, grade change and petitions to the faculty. Qualifications
High School Diploma with 3 years experience.
Associate’s degree or equivalent preferred plus 2-4 years office experience preferably in an academic environment. Job Specific Qualifications
Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents. Good oral and written communication skills. Solid interpersonal skills. Good organizational skills, and the ability to multi-task in a fast-pace professional environment. Ability to maintain a high level of confidentiality with sensitive information. Knowledge of PeopleSoft or related system is preferred but not required. Responsibilities
Serve as initial departmental representative to incoming constituencies as appropriate, and perform administrative and clerical duties that require limited independent judgment, yet some level of confidentiality. Be present in the office to provide services to campus constituents. Interpret policies and procedures. Handle a variety of tasks supporting students, faculty, and staff.
Which specific duties mentioned below are performed, and the time spent on each, is determined by the structure and size of the department:
Perform administrative and clerical duties that require limited independent judgment yet some level of confidentiality. Includes assisting in the preparation and editing of all correspondence, reports, inquiries, mailings, Interprets policies and procedures.
Perform secretarial duties and coordinate the office routine, which may include: managing and coordinating calendars, schedules, and appointments; making travel arrangements; assisting in the preparation and editing of correspondence; coordinating mailings and managing department listservs; hiring, training, and supervising student employees.
Process and keep track of expenses associated with the operation of the office. Monitor and order supplies and services. Assist with planning and execution of department events. Physical Requirements
