The Faculty Affairs Specialist will provide high-level administrative and operational support for all transactions related to career transitions of full-time faculty members (recruitment, hiring, orientation, performance management and annual and periodic reviews, promotion, tenure review, leaves of absence, and retirement.) The incumbent will possess the ability to provide first line of response for key issues from administrators, faculty and staff regarding faculty career transition concerns. The position requires a high degree of diplomacy, discretion, and initiative and commitment to equity and inclusion. The incumbent will demonstrate project management, problem solving and systems thinking and analysis skills, and the ability to prioritize requests and apply University policies to guide the establishment and modification of procedures. Through all actions, the faculty affairs specialist will support the vision and direction of the division through positive example, superior communications skills and demonstrated experience with the exercise of executive judgment. Qualifications
  • A Bachelor’s degree or an equivalent combination of education and experience is necessary.
  • Considerable experience in an administrative capacity is necessary. Advanced knowledge of University policies, procedures, and regulations is necessary; demonstrated project management experience.
  • Current knowledge of university policies and practices and excellent working relationships with personnel at all levels across campus.
  • Advanced knowledge of Microsoft Office and Adobe Professional suite. High level of research and data gathering ability, analytical skills, ability to read and interpret documents, basic negotiation skills, management and delegation skills, strong organizational skills, advanced verbal and written communication skills, ability to prioritize tasks and manage multiple projects.
  • Excellent proofreading ability.
  • Working knowledge of excel.
  • Advanced knowledge of Hyperion, PeopleSoft and related systems.
  • Five (5) plus years of work experience in higher education preferred.
  • Professional certification from relevant organization (e.g. SHRM, PMI ) preferred.
Job Specific Qualifications
  • Exercise initiative, independence of judgment and tact in handling special projects.
  • Expert knowledge of Microsoft Office and Adobe Professional suite, especially Excel and Word.

  • Relevant certification (e.g SHRM, PMI ) desirable
  • Coordinate with Office of Human Resources and Office of Institutional Research to maintain updated faculty information and serve as a liaison for data verification to academic administrators.
  • Process and provide advice and counsel on search requests and waivers, faculty appointment letters, contract renewals and non-renewals, retirements, faculty teaching load modifications, administrative/research/parental leaves and tenure clock stops.
  • Maintain flow of information and work between the Faculty Affairs and other areas of Academic Affairs, Human Resources and Schools and Colleges; act as a primary point of contact for deans, department chairs, faculty, students, staff, and various departments within/outside the University on behalf of the Academic Affairs for the responsibilities listed above.
  • Oversee the functions including correspondence, communications, troubleshooting, and inquiries from within and outside the University; and assure a high level of professionalism is maintained at all times.
  • Troubleshoot issues via phone and meetings with constituents using active listening skills; analyze situations and determine best course of action for issue resolution.
  • Other duties as assigned.
