General summary/purpose:

Reporting to the University Registrar, with dotted line reporting to the associated Vice Deans of Undergraduate Education, the Homewood Director of Student Records provides leadership and oversight for the Krieger School of Arts and Sciences (KSAS) and the Whiting School of Engineering (WSE) including, but not limited to: beginning and end of term processing, withdrawals , grade processing, student academic program(s) declaration, course and classroom scheduling, diploma ordering and distribution, degree conferral, and catalog maintenance. Supports quality student-centered services and assures compliance with state, federal & University policies.

This role will serve in partnership with the growing university-wide shared service organization, SEAM (Student Enrollment and Account Management), providing input to leadership on the functions that can be undertaken centrally vs. those that should remain locally within divisions. Initially, the SEAM will support activities related to enrollment and VA certification. The Homewood Director of Records will work closely with deans, vice deans, faculty, advisors, and other staff to understand and respond to the unique needs and requirements of graduate and undergraduate students for these schools. In addition, this role will represent the respective schools in interacting with peers as well as leadership of the SEAM-Registration to ensure the policies, practices, and compliance aligns with needs of KSAS and WSE.

Specific duties & responsibilities:

  • Responsible for the setup and execution of beginning of term processing each semester and corresponding end of term processing each semester.
  • Responsible for accurate and compliant updates to student academic records, including but not limited to program declarations, academic standing, internal and external credit postings.
  • Responsible for ensuring all degrees and honors designations are awarded and assures all graduation recommendations are distributed and returned to the appropriate offices.
  • Reviews departmental/University policies and procedures and makes recommendations for change, when appropriate.
  • Oversees the implementation of all course scheduling, classroom, and final exam scheduling for KSAS and WSE.
  • Leads the collaboration with school leadership in the assembly of the Catalogue and Academic Calendar
  • Collaborates with school leadership to create systems, reports, and processes that support a sophisticated data-driven environment with accurate and robust information to make decisions.
  • Acts as the designated official for KSAS and WSE enrollment-related reporting and FERPA policy. Develops, prepares, analyzes, and distributes reports for the Dean, Associate Deans, faculty, and staff on enrollment at the KSAS and WSE.
  • Shares data with many constituencies across the schools, including the Vice Deans, Associate Dean for Finance & Administration, and Dean’s Offices.
  • Provides functional leadership to propose and advance processes and systems that provide critical data in a timely manner to various stakeholders for enrollment and financial planning, strategic modeling, and survey responses.
  • Advises the University Registrar on policies around changes of student status, including the processing of, course withdrawals, and other administrative actions in coordination with the SEAM-Registration.
  • Participates in planning for Commencement, including event logistics, program copy, and other tasks.
  • Serves on a variety of committees, including those associated with the University Registrar, KSAS and WSE curriculum committees and progressions committees.
  • Supervises Homewood registrar’s team and work study students.
  • Advises students as needed.
  • Performs other duties as assigned.

Minimum qualifications (mandatory):

Master’s degree, and five (5) years progressively responsible job-related experience in higher education administration and records management,

Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

Preferred qualifications:

A graduate degree in Business, Higher Education administration or related field is preferred. At least five years of progressively responsible relevant experience in higher education administration and records management. Experience in a supervisory capacity desired.

  • Ability to work independently, as well as collaboratively as part of a team.
  • Strong oral, written and interpersonal skills required.
  • Facility with technology and the ability to analyze data that support a sophisticated data driven enrollment environment.
  • Knowledge of educational leadership and administration, higher education structure and governance, and factors that impact decision-making at private research institutions.
  • Understanding of nationally recognized practices and procedures for registrars including registration and records management, transcript practices, evaluation, and projection of classroom space requirements, and evolving best practices in records and registration
  • Understanding of compliance standards required by federal and state laws and regulations regarding student records, privacy, and reporting.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
