Position Summary

The University Services Associate 1 ( USA ) provides professional office support to the faculty, instructional academic staff, and graduate and undergraduate students affiliated with the Center on Disability Health and Adapted Physical Activity (Center) within the Department of Exercise and Sport Science (College of Science and Health). In addition, the USA supports the undergraduate and graduate Adapted Physical Education ( APE ) academic programs for the work related to Center activities. The USA will organize client/participant information for on-going communication; assist with Center budget functions; maintain inventory and order supplies; and assist with clerical tasks for grant proposals, related reports, and budgets. The support includes undergraduate and graduate academic programs that relate to the Center and community-service clinical education programs implemented by the Center (i.e., Children’s Motor Development Program; Adult Fitness Program; Physical Activity Mentoring Program for Persons with Disabilities, and others).

Required Qualifications

a. Minimum of high school diploma or equivalent. b. Excellent communication skills with students, parents, colleagues, professionals, etc. c. Excellent organizational and time management skills. d. Ability to use discretion and good judgment regarding confidential information. e. Ability to work independently and complete quality work. f. Ability to initiate and complete tasks when requested to meet program objectives. g. Ability to work effectively with people across multiple level of the university. h. Knowledge and experience with the use of email (i.e., Outlook) for individual and group communication. i. Effective oral and written communication skills. j. Knowledge and experience with the use of Microsoft Office software (Word, Excel, PowerPoint, etc.). k. Ability to interact positively and effectively with people in verbal and written modes, including those that may present challenging situations and persons with disabilities.

Miscellaneous Information

Estimated time requirements of position (different for academic year versus summer): Academic Year = ~600 hrs. (20 hr/wk x 15 wk/semester = 300 hrs x 2 semesters = 600 hrs) Tuesday, Wednesday, and Thursday from 9:30 a.m. – 4:30 p.m. Summer Session (mid June to mid August) = ~100 (10 hr/wk x 10 wk = 100 hrs) Tuesday and Thursday 9:30 a.m. to 3:30 p.m.

Center on Disability Health and Adapted Physical Activity Center Programs

Duties to Support Responsibility

a. Answer questions from and provide materials to school district teachers/staff, county social workers, human services agencies, parents, and others regarding Center programs via telephone, email, and in-person meetings. b. Maintain contact via email and phone with Center program participants’ social workers, case managers, and parents concerning schedules, enrollment, transportation, billing, and/or medical concerns. c. Develop and maintain email and phone distribution lists for all Center programs of parents, social workers, participants, and others. d. Maintain email and telephone contact lists of disability advocacy and related organizations throughout the La Crosse region to assist with Center program recruiting and other needs. e. Assist interested parties in the application processes for Center programs, including funding sources for third party payments. f. Develop, maintain, and update individual participant files (confidential) of participants enrolled in Center programs. g. Request updated information from medical and school personnel concerning new and ongoing participants of the Center. Release forms must be signed by parent(s)/guardians(s) to obtain this information. h. Assist with maintenance of Center and related programs web pages. i. Maintain billing system for Center programs. When appropriate, follow-up billing is needed. j. Plan and prepare monthly and yearly program calendars for Center programs. Disseminate to participants, staff, transportation providers, and other university staff. k. Assist Center staff with hiring student lifeguards for programs. l. Other duties as assigned by supervisor.

If necessary, contact appropriate UWL personnel regarding errors on Center accounts. c. Deposit Center participant program fees to appropriate accounts. d. Monitor and process transactions for Center UW-L Foundation account (Ghelfi account). e. Process all purchase requisitions in accordance with university guidelines. f. Maintain an updated record of student employee payroll records and notify work- study students when their allocation has been depleted. g.
