Position Summary and Responsibilities
The Administrative Assistant provides administrative and operational support to the Office of Campus Activities, and during the summer provides support to Powerhouse Theater. The Campus Activities facilitates interaction among members of the Vassar community by promoting and supporting a wide range of programs that contribute to the intellectual, cultural and social wellbeing of our campus by supporting activities planned by faculty, staff, and students. Powerhouse Theater, a collaboration between Vassar College & New York Stage and Film is dedicated to both emerging and established artists in the development and production of new works for theater and film.

  • Provide support to four administrators, including calendar management, phone coverage, scheduling meetings, mail distribution, and file maintenance.
  • Respond to all inquiries regarding Campus Activities from on and off campus.
  • Responsible for department budget tracking, including processing of purchase orders, requisitions, and online ordering.
  • Maintain and order supplies for Campus Activities Office, SARC office, Darkroom, Palmer gallery, Powerhouse Theater and Summer Programs.
  • Manage and maintain office space.
  • Maintain department files, including Summer Programs.
  • Assist with hiring, training and supervising student office assistants.
  • Perform other duties as assigned, including assisting with planning large scale events i.e., Commencement, Convocation and Families Weekend.

    • A minimum of two to four years of previous administrative support experience and/or training required.
    • Experience with Microsoft Office (including Word and Excel) is required. Proficiency in EMS and TMA Banner, Google suites preferred.
    • Ability to learn new programs and software as needed.
    • Ability to interact effectively with a diverse community of faculty, students, staff, prospective students, and visitors in a knowledgeable and helpful way.
    • Must have a professional, problem-solving demeanor; excellent judgment and discretion.
    • Ability to work independently with strong organizational skills, and the ability to effectively manage deadlines and multiple, competing priorities.
