Job Description:
Champlain College Online (CCO) seeks a tech-savvy Assistant Director, Admissions and Enrollment Operations. CCO is driven by the mission of transforming careers and the lives of working adults - and adults seeking to return to the workplace - across the country through an active and applied higher education.

The Assistant Director, Admissions and Enrollment Operations is chiefly responsible for overseeing the inquiry through enrollment administrative processes - with a heavy focus on systems and data from application through acceptance of offer, registration, and the first day of class - in order to maximize yield, reduce melt and thereby increase the number of CCO undergraduate, graduate, and TAP enrollments.

A metrics-driven position, the Assistant Director, Admissions and Enrollment Operations will develop, maintain, and improve operational dashboards for tracking progression through the pipeline through enrolled student in order to drive new efficiencies within CCO, and will work across relevant CCO areas, campus, and with external vendors to help improve the admissions process throughout the unit by understanding user needs, available data, and resources needed to execute it. The Enrollment Operations Coordinator and CCO Marketing/Admission Work Study students and summer part-time support staff will report to this role.

Primary Responsibilities
Oversee all administrative processes from inquiry through the first day of classes.

  • Using industry best practices, ensure an "ideal" user experience from inquiry through enrollment.
  • Focus on process improvements that maximize yield and minimize time to application completion, acceptance of offer, etc.
  • Ensure data quality is maintained processes are followed.
  • Develop new processes using College systems to streamline work and increase efficiency of operations.
  • Ensure compliance with applicable College policies/procedures and state and federal laws [e.g. Family Educational Rights and Privacy Act (FERPA), etc.]
  • Participate in recruitment activities and events to provide admissions support to prospective students.
  • Maintain, document, and improve Salesforce admissions processes.
  • Support and define application review process.

Manage and maintain the online applications for CCO undergraduate and graduate programs, and TAP.

  • Add new application start terms for each enrollment cycle.
  • Update the application, as needed.
  • Produce or oversee the production of reports, as needed, based upon the data contained within the online application.
  • Support process building and documentation, data mapping and document collection.
  • Monitor and review application and application process to ensure best practices are being followed.

Track and Improve applicant trajectory:

  • Gathering, improving department understanding, and tracking data on deferrals and withdrawals.
  • Improving the newly admitted student experience and reducing melt.
  • Improving processes between Operations, Admissions Reps, Transfer Credit/App Review and Retention as well as other internal stakeholders, like Student Accounts and Financial Aid.

Requirements: 

  • Five plus years of experience in an administrative management role within higher education.
  • Systems thinker with superior critical thinking skills and attention to detail.
  • Significant experience in student information systems like Banner or Colleague and with CRM tools like Salesforce.
  • Experience with data-driven performance and setting up dashboards and other reporting tools.
  • Excellent communicator and problem solver.
  • Strong communicator and team player.
  • Bachelor's degree is required, Master's degree preferred
