Position Summary: Reporting to the Registrar, the Assistant Registrar is responsible for maintaining student academic records, evaluating transfer credit, reviewing applications for graduation, implementing curriculum changes and assisting with the development and publication of major college information documents and course schedules.

Essential Functions and Duties: 

  1. Ensures the integrity, accuracy and security of all academic records of current and former students.
  2. Interprets and enforces college, state, and federal academic policies and regulations.
  3. Maintains confidentiality following the Family Educational Rights and Privacy Act (FERPA).
  4. Serves as the back-up contact for telephone, walk-in, and email correspondence for records and registration questions.
  1. Reviews graduation applications insuring that all requirements have been met and notifying applicants of any deficiencies. Input information into Banner student information system.
  2. Evaluates the acceptability and course equivalency of transfer work from other institutions of higher education or other sources.
  3. Assists with the development and publication of major college information documents including but not limited to the academic calendar, course catalog, department webpage, and credit/noncredit course schedules.
  4. Assists with beginning, interim, and end of term grade processing.
  5. Assists in conducting degree audits and completion reviews for graduation clearance processing and final posting of the degrees.  
  6. Implements curriculum changes in Banner, Degree Works and the published version of the course catalog.
  7. Works with various departments to ensure data integrity for the course catalog.
  8. Assists in updating curriculum documentation.
  9. Assists with the preparation and maintenance of all office manuals including process, credit for prior learning, transfer credit, and curriculum handbook.
  10. Maintains records inventory and retention.
  11. Assists with commencement. 
  12. Prepares electronic spreadsheets and reports.
  13. Directs the daily operations of the Academic Records and Registrar office in the Registrar’s absence.
  14. Assists co-workers with duties during peak periods.
  15. Performs miscellaneous job-related duties as assigned.

Qualifications:

  • Experience – Three years of experience in registration, student services or academic advising in a higher education environment.
  • Education – Bachelor’s degree in business, accounting, education or related field required. Master’s degree in management, education or related field preferred.
  • Needed Skills – Attention to detail combined with an emphasis on quality, strong computer skills/aptitude in Microsoft Office. Adobe Acrobat and preferably Banner, Document Manager, and Degree Works, ability to keep accurate records, work independently with minimal supervision, meet and exceed productivity standards, maintain confidentiality and follow FERPA guidelines.

Physical Requirements: Work involves sedentary to light work in an office setting.  There is frequent sitting, with walking, standing and stooping occasionally required.  There is an occasional need to lift objects (up to 10 pounds) and perform other similar actions during the course of the workday. Standard Work Schedule:
Monday-Friday: 8:00 am – 5:00 pm with occasional nights and weekends.

Travel Requirements:
Occasional travel may be required.
