General Description:

Reporting to the Director of Donor Relations at the Krieger School of Arts and Sciences (KSAS), the Donor Relations Coordinator assists with all stewardship processes and activities for the donor relations team. Works proactively to facilitate effective stewardship activities for donors, prospects, and other constituencies as necessary.

Primary Duties and Responsibilities

Personalized Stewardship:

  • Under the direction of the Director of Donor Relations works to ensure that all personalized stewardship plans assigned to the Krieger School are completed by the end of fiscal year deadline. This includes organizing quarterly meetings with gift officers to review the status of stewardship actions and coordinating their completion; database entry and tracking; familiarization with the histories of the Krieger School dormant and permanent cases and supporting the Director in completing these cases.
  • Manages a small portfolio of permanent stewardship cases for unrestricted donors and other straightforward personalized stewardship cases.
  • Assists with annual review of all personalized/mandatory stewardship donors, especially those in the dormant/permanent category to see if there is a need to continue annual stewardship.
  • Works with KSAS Communications to design annual KSAS end of year impact report (for unrestricted and high-level donors).
  • Provides administrative support to the Donor Relations team for all stewardship mailings and data entry for such, including but not limited to scholarship, professorship, and fellowships.

Acknowledgements:

  • Drafts personalized and timely acknowledgement letters to donors, using appropriate templates as guides, for the president, dean and associate dean’s signature.
  • Serves as liaison with all divisional development offices on gift acknowledgements and with the Office of Stewardship and Donor Engagement (SDE) to ensure that presidential acknowledgements are drafted according to the proper guidelines.
  • Assists Director with coordination of regular updates to acknowledgement template letters.
  • Monitors progress and tracking of acknowledgements, from approval to completion.

Other Stewardship:

  • Assists the Director with stewardship for graduate fund donors, including fellowships and the Graduate Annual Fund.
  • Provides information to SDE to update professorships website.
  • Assists with other stewardship-related projects and events as needed.

Administration:

  • Coordinates and proactively manages tasks for the Director and Assistant Director to prepare for upcoming meetings and events, which includes scheduling, preparing documents and agendas, logistics, and disbursement of pertinent information to attendees.
  • Maintains the annual stewardship calendar, which includes proactively completing tasks, tracking deadlines and prompting Director and Assistant Director when various actions are due.
  • Maintains records and ensures that gift, donor and recipient information is tracked appropriately.
  • Provides administrative support to the Donor Relations Team.
  • Other duties as assigned.

Minimum Qualification:

  • High School Diploma/GED required.
  • Three years administrative/office experience required.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s degree strongly preferred.
  • Experience in development and donor relations is preferred.

Special skills and knowledge:

  • Strong interpersonal and written communication skills required, and must be able to create original correspondence, such as letters, memos, reports, etc.
  • Must possess strong organizational skills, be detail-oriented, and be able to take part in more than one project simultaneously.
  • Candidate must be proactive and effective when working independently and as part of a team.
  • Must be capable of maintaining a high degree of professionalism and confidentiality at all times.
  • Must adapt to and be able to work in a complex, multi-divisional organization and a dynamic, fast-paced environment.
  • Must possesses critical thinking and strong problem-solving skills.
  • Must live within commuting distance to the Homewood campus in Baltimore and able to work on-campus 3+ days per week and remotely, effectively balancing the time.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
