Purpose of Position
This position provides administrative support for the College of Health and Human Services ( CHHS ) – Office of the Dean related to daily administrative processes including: • The hiring of new faculty via the processing of confidential personnel and payment documents (PARs, etc.), new hire documents, and support CHHS School Academic Coordinators in the setup of faculty files & credentialing materials in Digital Measures. • This position also supports the financial management, bill pay, and reporting functions of the college and auxiliary centers in the college. The dramatic growth in the College of Health & Human Services, especially in the accelerated online programs, is driving the need to scale the college infrastructure to meet the academic demands accompanying this growth. This position is a vital component to making the College of Health & Human Services operate efficiently and effectively. • Provide administrative support for Dean, Associate Dean and Assistant Dean, • This position will also provide administrative support to the CHHS Advising Center, Primary Responsibilities
I. CHHS Administrative Support of New Hire Process, Faculty Credentialing, and Personnel Documentation/Processes. • Facilitate/support college academic coordinators in processing confidential pay & personnel ( PARS, etc.) related paperwork, as well as new hire documentation, background checks, and I-9 verifications. Communicate with new hires and represent College of Health & Human Services professionally. • Support Business Office with maintaining faculty/instructor data • Support School Academic Coordinators to Obtain/relay Usernames to new employees. • Oversight for confidential college, departmental, student, and faculty files. • Support Business Office and School staff in processing Separation PARs and related paperwork/electronic inputs generated by school academic coordinators • Responsible for running Labor Distribution Reports & validating that all Part-Time Faculty are paid accurately. • Management of time keeping and needed approvals from Associate Dean • Support other responsibilities as needed. II. Administrative support of Financial Management, Bill Pay, and Reporting Functions for CHHS Office of the Dean, Nursing Advocacy Center and Simulation Center. • Responsible for general financial management functions, including grants and foundation accounts Help with special financial projects/analyses for the CHHS Dean • Support CHHS staff in processing Travel Requests and Expense Reports, Purchasing Supplies and reconciling ProCards, and Time Administration for CHHS, Nursing Advocacy Center and Simulation Center. Ensures that all NKU guidelines are met. • Responsible for directly or as the backup resource for bill payment, purchase requisitions, budget transfers, revenue transfers, vendor setup, revenue collection & bursar deposits, reconciliation of accounts, and other financial administration related duties. Become proficient in SAP and CHHS Systems. • Responsible for directly or as the backup resource for the coordination of grant accounts and associated paperwork with faculty and other CHHS Staff. • Oversight of CHHS equipment/furniture/computer inventory (including annual reconciliations, tagging, and upgrade/replacement processes). • Support other responsibilities as needed. Qualifications
Bachelor’s degree plus two years of related experience required. General business and computer skills, with proficiency in MS Office Suite (especially Excel). SAP experience is helpful, but not mandatory. Require good time management, interpersonal and communication skills, as well as the ability to adapt to change quickly. Requires collaborative work with the CHHS Business Office. Also, requires good data skills, keen attention to detail and very high accuracy rate.
