Job Summary

The assistant registrar is responsible for assisting the registrar with certifying students’ completed graduation requirements and conferring degrees.

Essential Job Functions and Performance Indicators

The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Job Responsibilities and Execution

  • Manages the degree audit process
  • Manages the Missouri Reverse Transcript (MRT) process
  • Adds degree information to student transcripts
  • Manages the diploma printing and distribution process
  • Serves as a liaison between Academic Services and schools, faculty, and advisors
  • Inputs degree application information
  • Verifies that students have fulfilled all general education requirements for graduation
  • Creates student lineup and faculty lineup for commencement ceremonies
  • Assists main office by answering emails and phone calls
  • Assists Financial Aid by providing essential documentation during annual audit
  • Recommends possible changes to Academic Services processes during the Student Information System (SIS) conversion process


Service Excellence

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values – integrity, dedication, excellence, creativity, and teamwork
  • Assists students, faculty, administrators, and alumni by answering questions and recommending possible solutions
  • Serves as an Academic Services representative on various University committees
  • Maintains awareness of current trends in Academic Services, with a focus on service development, delivery, and support


Communication, Teamwork, and Collaboration

  • Attends various conferences regarding developments in higher education that shape academic services
  • Notifies students and faculty of any potential problems concerning graduation
  • Distributes graduation audits to faculty members in a timely manner
  • Works closely with vendor regarding diploma printing/distribution process


Job may require other duties as assigned.

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.

  • Bachelor’s degree
  • Master’s degree preferred
  • Minimum two years of student services experience within the field of higher education preferred


Knowledge, Skills, and Abilities – May be representative, but not all inclusive, of the knowledge, skills, and abilities necessary to perform this job competently.

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Demonstrates consistent logic and objectivity in decision making
  • Familiarity with FERPA regulations and privacy laws governing higher education
  • Excellent communication and problem-solving skills
  • Ability to interact with students, faculty, staff, and alumni in a professional manner
  • Highly organized and detail oriented
  • Computer literate; experience with Microsoft Word and Microsoft Excel


Work Environment – Environmental or atmospheric conditions commonly associated with the performance of this job’s functions.

  • General office setting
  • Some physical work during commencement setup in May and December
