The School of Nursing and Health Studies offers three-degree programs; A Master of Nursing, a Bachelor of Science in Nursing and a Bachelor of Arts in Health Studies. UW Bothell School of Nursing and Health Studies has an outstanding opportunity for a Nursing and Health Studies (NHS) Program Coordinator .

Under the supervision of the Director of Academic Services & the School Administrator, the Nursing and Health Studies (NHS) Program Coordinator performs a variety of academic and student services, general program operations, and fiscal processing (reimbursements & reconciliation) supporting a diverse community of students, faculty and staff. This position jointly reports to the Director of Academic Services and Administrator.

RESPONSIBILITIES

Academic and Student Services:

In collaboration with a team of professional academic advisors, coordinate and support services and programs that serve a diverse body of current and prospective students by providing the following services via in person, email, or phone:
• Support and be the main point of contact for Health & Safety program. Facilitate onboarding process including student background checks, nursing licensure verifications, student coding, file management, application processing, and maintaining all paper and electronic application materials; GPA calculations, and data tracking and entry.
• Coordinate the Nursing programs Health and Safety requirements ensuring timely and clear student communication via the website and written materials, that compliance and deadlines are met, requirements are reviewed and updated annually and monitoring and tracking student progress is up to date and communicated to nursing advisors and students.
• Assist in the website management of degree program pages.
• Coordinate the annual Nursing Honors Society event and other student advising, graduation and orientation events.
• In partnership with the Program Coordinator for Curriculum, coordinate the reception and intake services of the School by occasionally staffing the front desk and supporting its services and daily operations.
• Assist and advise current and prospective students on available degrees, admission and registration process, common concerns and frequently asked questions.
• Coordinate relevant Health & Safety petition processes.
• Cross train with Program Coordinator for Curriculum on essential duties, such as input, update, and maintain the NHS Time Schedule and submit curriculum changes for courses and programs.
• Create new and maintain existing student data reports as requested (for example, reports on student academic progress).
• Write, edit, and proofread NHS publications and correspondences, as needed.

Fiscal Expenditures & General Program Operations:

• Review and submit faculty and staff reimbursements (travel, mileage, books, conference fees) in coordination with shared services following UW and state regulations.
• Reconcile multiple state, revenue and gift budgets monthly.
• Perform school small purchasing as a procard holder following UW fiscal compliance guidelines and policies.
• Order and track office supplies and coordinate bi-annual branded clothing store for students, faculty, and staff purchase.
• Distribute mail, including incoming faxes and maintain professional front office reception area.
• Create and mail departmental letters (i.e. admission letters) or packets.
• Oversee department inventory updating tracking sheet and processing Home Equipment forms using DocuSign.
• Process electronic and hardcopy graduated student files following retention period purging records annually.
• Provide administrative support for the Administrator, Director of Academic Services and, as needed, the Deans and faculty.
• Update grant expenditures for faculty.
• Work in coordination with the Program Coordinator for Curriculum and assist faculty and staff with campus room requests for meetings and events, enter department work orders and process parking permits for guests as needed to ensure continuity of service.
• Other duties as assigned by Supervisors.

MINIMUM REQUIREMENTS:

High school graduation or equivalent AND two years of experience in academic, student, fiscal services OR equivalent education/experience.

ADDITIONAL REQUIREMENTS:

• Proven ability to work in a multi-tasking environment while maintaining a high degree of accuracy and attention to detail.
• Ability to work independently on numerous and diverse tasks and to make critical decisions at an appropriate level.
• Ability to work well in a team setting and cross train on essential department tasks.
• Ability to research, confirm, and clearly communicate (verbally and in writing) reliable and verifiable information regarding University procedures, policies, and regulations.
• Excellent interpersonal, speaking and writing skills.
• Experience and familiarity with academic and student services programs in a university setting.
• PC-based computer skills, specifically Microsoft Windows and Office software.

DESIRED:

• Bachelor’s degree
• Experience assisting with the coordinating of student-related events/activities.
• Experience with higher education admissions and student services.
• Experience with state fiscal and travel compliance regulations.
• Experience with University of Washington administrative regulations, procedures, and practices.
• Experience with MS Office products, UW Enterprise Data Warehouse, Canvas, MyGrad, Sharepoint, and Slate Technologies software.

CONDITIONS OF EMPLOYMENT

• This position will be located in an open-office/reception environment, with frequent interruptions.
• The work will be performed during regular business hours, Monday through Friday or as negotiated with the supervisor.
• Work will be performed across UW Bothell campus. This role is required to travel/walk to other buildings on campus as needed.
