About the Opportunity:
The Roux Institute in Portland Maine is dedicated to the development of talent and research innovations to drive the future Maine economy in critical fields such as life science, technology, medicine, computer science, and data analytics. The Institute will deliver this in close partnership with 30 Maine-based companies and educational institutions, and become a convening force for bringing these partners together, along with colleagues from across the Northeastern Campus Network.

As part of this convening role, we will be planning a wide range of events, ranging from large multi-institutional symposia and community programming to smaller meetings that engage the internal Northeastern community. In addition, we plan to host high-level university and corporate events, drawing senior leaders from Northeastern as well as from our partner companies and institutions. Finally, the Roux Institute is now part of the Biologics Effectiveness and Safety (BEST) program of the Center for Biologics Evaluation and Research (CBER) at the Food and Drug Administration. As such, we will be charged with organizing several meetings per year that will convene researchers, regulators, and industry leaders. Some of these meetings will take place outside the greater Portland area.

Responsibilities:
The Events Coordinator will provide administrative and logistical support to a variety of clients across the Northeastern community, ensuring the successful execution of different types of university events. The team's work includes receptions, dinners, breakfasts, meetings, conferences, symposiums, multimedia events and leadership entertaining. These events will primarily occur locally, though some may occur outside of Portland, Maine. This position is responsible for ensuring that the multitude of details and mechanics required to produce, successful, high quality, special events are flawlessly coordinated.

Qualifications:
  • Bachelor's Degree and one to two years professional experience (event planning preferred) | Superior guest relations and service minded skills

  • Superb written and oral communications skills which include writing, editing, proof reading and public speaking.

  • Strong ability to multi-task in a fast paced environment and to think quickly and clearly when juggling many projects simultaneously

  • Impeccable organizational skills that include being deadline oriented, having a strong attention to detail and accuracy when dealing with data

  • Resourceful problem solver able to work independently and collaboratively

  • Ability to manage multiple projects and work assignments from various levels of university administration and volunteers

  • High expectations for quality

  • Competence with Microsoft Office including Word, Excel, Outlook and PowerPoint
