The Executive Director of Presidential Initiatives and Special Projects is a true right-hand to the President and Chief of Staff, actively participating in all matters of the organization as well as providing superior administrative support. Provides strategic and administrative support to executive office related to the business operations, functions, and activities of the department or division. Performs and completes special projects of a highly skilled nature. Essential Duties Summary
  • Manages all executive transformative and transactional operations of the Office of the President
  • Drafts and initiates correspondence and reports, gather resource information for meetings and presentations, and prepare and edit presentation materials and accompanying reports.
  • Tracks key activities and milestones, managing deliverables to deadlines, integrating activities across work streams and surfacing project risks and concern as appropriate.
  • Supports management and prioritization of the President’s strategic initiatives.
  • Assists in monitoring and annual tracking of leadership goals, objectives, priorities, benchmarks and milestones.
  • Plans strategies for streamlining and improving operations for the office of the President and the University.
  • Serves as the executive focal for the President, both internally and externally.
  • Performs information and knowledge management roles for the President.
  • Cultivates strong professional relationships and develop open lines of communication between the President and internal departments and external partners.
  • Reviews and prioritize the President’s incoming items and response correspondence.
  • Manages and assists with meeting/call follow-ups; arranging calls, further meetings, email replies etc.
  • Manages President’s travel.
  • Creates, coordinates and seamlessly maintains/manages various task lists/calendars and workflows for the Office of the President and updating tasks for the team daily.
  • Organizes internal meetings, video conferences and conference calls, including preparing meeting rooms, contacting attendees, facilitating their attendance, ensuring that required informational materials and equipment are prepared in advance
  • Assists with preparation for various meetings, including Board of Regents meetings and all-employee Town Halls (build presentations, reports, spreadsheets, data analytics, conduct research etc.).
  • Prepares PowerPoint presentations, excel spreadsheets, and letters on an ad hoc basis
  • Leads and manages projects as assigned by the President.
  • Coordinates and organizes timely submission of reports, prepare agendas, take minutes and action points, distribute and manage outcomes
  • Arranges training and development for the executive team
  • Administers the daily office operations, which may include the coordination and supervision of staff members.
  • Assists in program/project planning, development and achievement of established goals and objectives.
  • Coordinates calendar and independently schedules appointments for the President.
  • Organizes the flow of clerical processes in the office.
  • Researches information, compiles statistics, and gathers and computes various data. Verifies accuracy of information on standard University forms. Prepares graphs and charts for management use or presentations.
  • Performs other job-related duties as assigned.

Master’s degree or higher.

Academic Credentials beyond the Master’s Level is preferred. Required Licensing/Certification

Work Experience
Five (5) to seven (7) years of executive experience in educational organizations/ education field.
