JOB SUMMARY :
The Executive Assistant will assist the Vice President with overseeing the day-to-day operations of Institutional Advancement as well as function as a manager of administrative operations.
DUTIES AND RESPONSIBILITIES :
· Provide administrative support to the Vice President.
· Enhances the Vice President’s effectiveness by providing information management support; representing the Vice President to others.
· Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data.
· Conserves Vice President’s time by reading, researching, and routing correspondence; drafting letters, emails and documents; collecting and analyzing information; initiating telecommunications.
· Maintains the Vice President’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
· Represents the Vice President by attending meetings in the Vice President’s absence; speaking for the Vice President.
· Maintains customer confidence and protects operations by keeping information confidential.
· Completes projects by assigning work to clerical staff; following up on results.
· Prepares reports by collecting and analyzing information.
· Secures information by completing database backups.
· Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
· Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
· Contributes to team effort by accomplishing related results as needed.
· Extensive travel arrangements (including but not limited to: flight and hotel reservations, travel visa and visa letter preparations, car rental/ground transport arrangements).
· Meeting Arrangements
· Preparation/Collation of Presentation and Meeting Materials
· Calendar Management
· Managing Institutional of Advancement events
· Support the onboarding and clearance process for new hires
· Perform other duties as assigned by the Vice President of Institutional Advancement.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES :
· Writing skills, reporting skills, scheduling, accounting/budget skills, Banner skills, Microsoft Office skills, organization, time management, presentation skills, travel logistics, verbal communication. Minimum Qualifications
QUALIFICATIONS :
· Bachelor’s degree preferred
· Able to support multiple managers
· Resourceful with proven ability to multi-task
· Independent and yet a team player; willing to lend support to the broader team
· Enthusiastic and possesses a positive attitude
