Position Information

Vacancy Number: S-00743 Position Title: Program Associate Classification Title: Program Associate Department: Admissions and Recruiting Employment Type: Full-Time Duties and Responsibilities:
Coordinate and complete special or on-going projects/tasks/responsibilities (e.g., coordinate processing of student and/or employee records/forms; close the office; prepare reports; process documents; track/monitor student records/forms; monitor purchase orders).

Code, tabulate, and assemble fiscal, statistical and related data; collect and post information into computer or manual filing system; follow acceptable/standard bookkeeping procedures; collect fees and maintain collection records; maintain department records/accounts; proofread documents/written materials; type draft/final correspondence for supervisory staff.

Receive office visitors and/or telephone calls; answer routine questions; screen calls/callers; take messages and/or refer to appropriate personnel; pick-up, sort, and deliver mail.

Coordinate use of departmental computer systems and enter data accordingly; type standard forms, letters, mailing lists, brochures/materials for publication as well as other documents operate office machines (e.g., copier, scanner, fax, calculator, personal computer, typewriter).

Complete specific tasks associated with data entry to log high school and college transcripts of students who choose to apply to AUM, including but not limited to scanning and indexing documents.

Provides students advice regarding University issues.

Assumes responsibility for the delivery of program functions or portions of program activities.

May provide administrative activities to assist programmatic support functions (e.g., payroll).

May have some assigned duties requiring special training and/or certification. Knowledge, Skills, and Abilities:
Knowledge of basic word processing software and other related software, such as Ellucian’s Banner Student and Xtender scanning software.
Knowledge of scope, guidelines, and operation of departmental or unit program
Knowledge of departmental/program operating procedures
Knowledge of assigned department forms, rules, etc.
Knowledge of record-keeping procedures
Knowledge of applicable university policies and procedures
Interpersonal skills
Oral and written communication skills
Ability to perform basic mathematical computations
Ability to review materials and identify discrepancies or mistakes (i.e., proofreading)
Ability to respond to several demands at one time
Ability to maintain records
Ability to coordinate the work of others Ability to provide information and assistance to assigned staff and customers Minimum Qualifications:
High school diploma or equivalent and two (2) years of general office experience. Admissions processing experience is desired. Banner Student experience is preferred.
