Job Description

Embry-Riddle Aeronautical University’s Prescott, Arizona campus is hiring a Human Resources Assistant to join the Human Resources Team. Embry-Riddle's Prescott Campus is respected worldwide for cutting-edge instruction and training for tomorrow’s aviation, aerospace, security and intelligence leaders. Prescott is a mile-high city and its climate reflects seasonable weather excellent for flying. Daytime averages are 80°F in the summer and 45°F in the winter. At 5,000 ft. above sea level, it boasts a mild climate, clean air, pristine wilderness areas, and nearby national forests. The university is a small, private, residential university in the mountains of Arizona with approximately 3,500 students. Staff/faculty/student interaction is highly valued and is a central theme of our campus. It is located 100 miles north of Phoenix and 120 miles south of the Grand Canyon.

Job Summary

Performs a variety of technical, administrative, and confidential duties related to the day-to-day functioning of the Human Resources Department. Carries out responsibilities in some or all of the following functional areas: recruiting and employment, HRIS, training and development, and general human resources administration. Effectively records, maintains, and reports human resource information; assists in the recruiting process; assists in employee training and development; provides support with student employment; provides support with employee relations; and performs administrative tasks to support HR functions.

Job Duties

  • Supports all internal and external HR related inquiries or requests (employees, students, visitors), and monitors and responds to HR Live Chat.

  • Responsible for assisting with recruiting process including, but not limited to: extending offers, onboarding, assisting with screenings, and conducting initial orientation/benefit review to newly hired employees. Ensures I-9s are completed for all new hires.

  • Responsible for imaging all paperwork generated in Human Resources.

  • May enter data into HRIS system.

  • Support the Flight Department with recruitment and administrative processes.

  • Maintains/tracks immigration list for employees currently on CPT, OPT, STEM and H1B.

  • Maintain office supplies for department.

  • Assist students in navigating the Workday site to locate available positions, on-boarding tasks and self-service features.

  • Assist supervisors and managers in navigating the Workday site to post positions, hire students and manage their student employees.

  • Conduct training sessions for departments or individuals in the use of Workday.

  • Monitor the Workday site to approve and process tasks in a timely manner (hires, terminations, etc.).

  • Submit and upload background checks from HireRight and follow through with the hiring department (Flight Instructors, Summer Programs staff).

  • Provide the necessary paperwork for drug testing to students, when appropriate.

  • Complete Section 2 of I-9 in Equifax and verify documents for new student hires. Maintain Equifax to ensure documents received and recertification/errors are corrected in a timely manner.

  • Other duties as assigned.

Qualifications

Required Education:

  • High school (or GED) level ability in spelling, grammar, basic composition, and math.



Preferred Education:

  • Associate’s or Bachelor's degree. Area of study: Human Resources.



A bachelor's degree or equivalent combination of education and experience and minimum of two to three years of experience in human resources with understanding across human resources functional areas, policies, and employment laws is required.

Required skills, knowledge, abilities:

  • Knowledge of state and federal employment regulations.

  • Ability to work effectively with people from a variety of culturally diverse backgrounds.

  • Knowledge of principle, practices and standards of Human Resources Administration.



The ideal candidate will successfully demonstrate proficiency in MS Office products (Outlook, Word, Excel, PowerPoint); demonstrate outstanding professionalism, tact, and confidentiality; excellent time management skills; ability to prioritize and reorganize assignments to meet critical deadlines; demonstrated solid communication, public relations, and presentation skills; strong writing skills to communicate via email with all levels of the organization as well as applicants; excellent listening skills; ability to remain calm under stressful situations; strong critical thinking and problem solving skills; ability to work independently to solve issues and to know when to escalate issues to the appropriate level within the department; show initiative to pursue process improvement and Human Resources best practices; willingness to assist and support others and work collaboratively in a team environment; and ability to operate common office equipment, such as telephones, copiers, computers, printers, etc.
