Operations Assistant, Student Engagement



Job Description:

In our Jesuit tradition, Office of Office Student Engagement seeks to underscore the development of the whole person and particularly assist students in their transition and exploration at Fairfield University. Office of Office Student Engagement empowers students to work together to build community, lead ethically, and value differences. Through interdivisional collaborations, especially between academic affairs and student affairs, Student Development connects students to curricular and co-curricular experiences that empower civic responsibility and personal growth.

Duties and Responsibilities

Responsible for verbal and written communication for the Office of Student Engagement

  • Provide excellent customer service to multiple stakeholders

  • Promote an inclusive office culture for all stakeholders

  • Respond to emails in resource accounts

  • Make appointments and manage professional staff members’ calendars

  • Handle telephone calls tactfully and taking accurate messages

  • Talk with students and assessing the level of importance of the issue; then establishing appointments

  • Talk with families and assessing level of importance of the issue; then making referral to individual to take appropriate action



Maintain a multi-task workload in a busy office environment

  • Keep track of work in the midst of frequent interruptions

  • Work well in a team with others in the office



Provide operation support as assigned

  • Help with mailings, both on-campus and off-campus

  • Manage ticket distribution for events

  • Collect paperwork for students relating to all functions of OSE

  • Maintain accurate lists of students for OSE

  • Complete all work order, catering, media, and supplies request

  • Complete paperwork relating to the hiring of work study students

  • Submit time sheets

  • Support the marketing projects within the office by tracking projects and coordinating the editing process of different guidebooks and other materials

  • Support the management of our international students immigration processes



Manage and maintain all budgets relating to the operations of the office

  • Conduct budget reconciliation

  • Maintain accurate paperwork and binders

  • Complete charge revisions

  • Complete expense reports

  • Open purchase orders

  • Report to direct supervisor any concerns with budget

  • Support the management of student club and organization budget management



Participate in Professional Development

  • Attend workshops for training as requested



Participate in the growth and development of the Office

  • Support the on-boarding process for all students

  • Assist the Director

  • Support the planning and implementation of office of student engagement programs such as welcome week, senior week, midnight breakfast, movie series, alumni family weekend, concerts, f@n late night events etc.

  • Attend necessary meetings and inform staff regarding relevant information

  • Promote an image of efficiency and courtesy throughout the university community and ensure that it is consistent with the office of student engagement’s mission

  • Remain cognizant of the university's mission and identity, the constant promotion of social justice, and importance of student voices

  • Communicate effectively with supervisor concerning pertinent departmental and/or university matters

  • Other duties as assigned that are within the best interest of the department



Promote safe and secure working conditions

  • Promote the proper utilization of equipment and materials

  • Notify supervisor immediately of any unsafe working conditions
