Position Primary Purpose and General Responsibilities
The VCU Office of the Provost seeks two academic affairs coordinators who will support priority work within the academic affairs unit. Reporting to the assistant vice provost for academic programs, with dotted line responsibilities to the director of program development and innovation, the coordinators will be a critical talent with dynamic, cross-functional roles in a broad array of areas including academic program development and modification, accreditation, academic policies and regulations, assessment, academic agreements, academic program review, and innovative academic planning.

During a multi-year cycle, this highly tailored position is designed to rotate across multiple academic affairs functions so that the coordinators have involvement in academic programs from inception through implementation. Operating as part of a strong team focused on serving VCU’s academic units, the coordinators will contribute to how VCU develops academic program offerings that best meet the needs of the modern student and workforce.

Across all functional areas, the academic affairs coordinators will make critical contributions by

● Planning, implementing and evaluating programming — e.g., consultations, workshops, trainings — on a variety of academic affairs topics. Sample topics include developing academic programs; using assessment data to inform curricular changes; developing and sustaining academic partnerships; engaging in effective academic program review and planning
● Preparing proposals, handbooks, guides, reports and presentations for internal and external stakeholder groups (e.g., departments; schools and colleges; committees and workgroups) and agencies [e.g., State Council of Higher Education for Virginia ( SCHEV ); Southern Association of Colleges and Schools Commission on Colleges ( SACSCOC )]
● Processing, reviewing and making recommendations regarding academic program-related documents (e.g., program proposals; assessment reports; agreements; academic program review self-studies, peer review reports and action plans) submitted by departments, schools and colleges
● Providing research, analysis and other duties as needed to support the university’s academic policy process
● Documenting the status of projects, including next steps, ensuring appropriate consultations are recorded and recommendations are acted upon in communication with multiple parties
● Developing, maintaining, monitoring or tracking a variety of academic program-related data and records in databases and inventories across different review cycles
● Providing superior customer service to academic affairs stakeholders (e.g., departments, schools and colleges) by responding to inquiries and questions in a timely fashion
● Collaborating effectively with team members and other stakeholders to accomplish projects in a timely manner and with excellence

Minimum Hiring Standards
● Demonstrated ability to build relationships and collaborate with key stakeholders
● Clear oral and written communication skills; experience in technical writing strongly preferred
● Excellent customer service skills
● Demonstrated ability to prioritize and organize work with multiple overlapping deadlines
● Excellent computer skills and experience with Microsoft Office (i.e., Word, Excel and PowerPoint) and Google Workspace
● Ability to quickly learn office technology, databases and other software (e.g., Adobe Acrobat DC; Taskstream assessment management system; Smartsheet)
● Excellent problem-solving skills that require good judgment
● Ability to foster and maintain confidentiality
● Bachelor’s degree from a regionally accredited college or university
● Ability to collect, interpret and report data
● Demonstrated experience working in and fostering a diverse faculty, staff and student environment; and a commitment to do so as a staff member at VCU Preferred Hiring Standards
● Experience working in a higher education setting
● Understanding of upper-level central university administration in a complex organization
● Experience developing and/or implementing policies and protocols
● Demonstrated success in project management
● Experience supporting and/or delivering courses or training programs
