Job Description

Truckee Meadows Community College is recruiting for an Administrative Assistant 4 in the Scheduling Office. This position does not provide layoff rights and is contingent upon funding. This position is dedicated to scheduling space for all college activities including meetings, workshops, final exams, video conferences, student events and other space needs using the Series25® scheduling software. This position oversees all requests from outside agencies for space utilization for meetings, conferences and other large events and works in conjunction with several college departments impacted by external events such as Media Services, Catering, Police Services and Facilities. In addition, this position works very closely with the President's Office on high profile events which requires strong attention to detail, excellent organizational skills and in-depth knowledge of NSHE/TMCC policies. This position oversees training for 25Live end users and in addition, creates training packets and sets up user security levels. This position provides support to the NSHE Specialist 2 by providing backup for academic scheduling as well as working with faculty, staff and students as needed. Experience with the 25Live scheduling software is preferred for scheduling events, maintaining classroom features, and running data reports. General knowledge of QuickBooks accounting software is desired for processing invoices and collecting payments from outside agencies. This position works independently and must use good judgement in establishing timelines, analyzing situations and determining effective action plans.

Required Qualifications

Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience.

Schedule

The typical work schedule is Monday through Friday from 8:00 AM - 5:00 pm; this is subject to change based on organizational needs.

This position requires an occasional flexible work schedule due to overseeing outside events after regular business hours.
