The Department of Mechanical Engineering seeks a Senior Academic Program Coordinator who will be responsible for supporting the academic program administration, reporting to the Academic Program Administrator with administrative services related to the undergraduate and graduate activities in the Department of Mechanical Engineering.

Specific Duties & Responsibilities:

Program Management (40%):

  • Manage graduate degree completion, certification, and reporting processes.
  • Schedule graduate student examinations and dissertation defenses.
  • Schedule rooms for courses, ad hoc classes, and events.
  • Maintain student departmental data.
  • Proofread, edit, and prepare information packets and other student related materials.
  • Develop and track evaluation process for programs and courses.
  • Track faculty teaching load compliance.
  • Create, update, and maintain instructional materials for academic administrative tasks.
  • Plan and execute student orientation and graduation activities.
  • Coordinate special events related to academic affairs.
  • Manage the Convocation Award process – selection, notification, awards, and announcements.
  • Execute departmental charitable events.
  • Supervise student workers ad hoc.

Financial and Administration (20%):

  • Execute Department Graduate Aid process.
  • Manage Teaching Assistant program - budget, recruit, hire, pay and terminate student positions.
  • Gather data for grant proposals.
  • Reconcile budget to ensure proper allocation of charges.
  • Assign and monitor inventory of departmental Office Space.
  • Liaison to the Facilities office to arrange repairs and maintenance to departmental facilities.
  • Manage key distribution process.

Communication and Public Relations (20%):

  • Act as contact point and information liaison for students and faculty on academic and administrative matters.
  • Maintain student portions of the departmental website. Create student pages as need is identified.
  • Ensure that information and data flows smoothly among divisions, organizations, and companies engaged in educational activities.
  • Manage departmental e-mail lists.
  • Maintain and monitor central Academic Administration and Departmental e-mail boxes.
  • Develop network of contacts with academic staff and JHU central administration.

Policy and Advising (10%):

  • Interpret and apply departmental, school, and University policies for students and faculty.
  • Advise students on academic program requirements and processes.
  • Monitor student academic performance for deficiencies; notify advisors when identified.
  • Coordinate advising meetings for faculty and students.
  • Serve on ad-hoc and permanent service committees.

Admissions and Recruitment (10%)

  • Conduct student recruitment visits.
  • Respond to information requests on degree program and application processes.
  • Develop and maintain departmental student alumni data.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • Five years progressively responsible administrative/academic experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor’s Degree preferred.
  • Adobe Acrobat and web software experience strongly desirable.
  • SAP experience strongly desirable.

Special Knowledge, Skills & Abilities:

  • Friendly and professional interaction skills with constituents of all levels.
  • Organizational, prioritization, and learning skills.
  • Microsoft Office required.

Level Of Independent Decision Making:

  • Moderately independent.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $19.82 - $27.27/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
