The Department of Film and Media Studies is seeking anAdministrative Coordinatorto provide administrative support at the JHU/MICA Film Center to four academic film programs and two sponsored programs from JHU and MICA (Maryland Institute College of Art). Position is located at 10 E. North Avenue.

Specific Duties & Responsibilities:

Administrative Support (35%)

  • Answer and screen incoming calls
  • Update website using Wordpro
  • Coordinate mailing lists
  • Assist with coordinating technical, maintenance, and security personnel
  • Event planning and coordination
  • Provide administrative support for special projects as needed
  • Compile news items for weekly newsletters
  • Inventory and order supplies as needed

Financial Administration (60%)

  • Set up vendors and process invoices, travel reimbursements, and online payment requests. This requires the use of SAP for JHU affiliated work and Workday for MICA affiliated work.
  • Reconcile credit card statements.
  • Liaise with finance departments at JHU and MICA for payment updates.
  • Assist with reconciling financial statements

Other duties as assigned (5%)

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • Three years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • Bachelor’s or Associates degree preferred.
  • Experience in higher education or an executive level office preferred.

  • Must be well-organized and have good time management skills
  • Excellent written and verbal communication and interpersonal skills
  • Ability to multi-task in a fast-paced environment
  • Ability to remain focused while dealing with constant interruptions
  • Ability to work independently and use discretion and sound judgment in independent decision-making
  • Ability to maintain confidentiality and demonstrate professionalism
  • Ability to work occasional evening events

Technical Qualifications/Specialized Certifications:

  • Proficiency with standard office equipment and computer software including Microsoft Office Suite and Adobe Suite.
  • Prior knowledge of SAP and/or Workday preferred
  • Proficiency with Windows and Mac IOS
  • Knowledge of various social media platforms

Role/Level/Range: ATO 37.5/02/OE
Starting Salary Range: $17.42 - $23.95/hr (commensurate with experience)
Employee group: Full Time
Schedule: M-F, 8:30 a.m. to 5 p.m.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
